The post holder will provide efficient and comprehensive administration support, working as part of a team, covering all aspects of the Medical Outpatients Reception function and Medical Outpatients Department.
Duties will include providing a reception service to patients, relatives/carers, and all staff groups, arranging patient appointments via telephone or face to face and demonstrating a high standard of customer care.
A vacancy has arisen for a full-time clerical assistant/receptionist to work within the busy Medical Outpatients Department at Northampton General Hospital. We are looking for an enthusiastic person to join the team. The successful candidate will have a flexible and positive attitude, be methodical, a committed team player, able to work under pressure, meet deadlines and have excellent customer service skills as this is a patient-facing role.
An eye for detail is essential along with good IT skills. The successful candidate must have experience in a clerical or receptionist role.

To provide an efficient and courteous reception service to patients, relatives/carers, Medical Outpatients and the wider Trust.
Responsibilities include:
1. Deal with often complex telephone queries from patients, GP’s, Consultants and the wider Trust.
2. Arrange appointments for patients in accordance with guidelines and Trust Access Policy.
3. Demonstrate a high standard of customer care.
4. Change/reschedule appointments at the request of patients or clinicians.
5. Communicate complex information regarding Medical Outpatients appointments and results.
6. Liaise with the administration and clinical teams when booking appointments.
7. Input data and maintain the integrity of data held in the IT systems.
8. Record all requests coming into the department accurately and timely.
9. Implement manual procedures detailed in the department’s disaster recovery and business continuity plans.
10. Ensure all departmental targets and deadlines are achieved.
11. Assist with reception administration and update relevant databases.
12. Use advanced keyboard and computer skills to input patient data accurately.
13. Be actively involved in offering suggestions for service improvements.
14. Book interpreters and transport in accordance with Trust protocol.
15. Support in training of Medical Outpatients and other Trust staff.
16. Prepare medical notes for outpatient clinics.
17. Provide general administrative services as required by the department.
18. Open, process and send mail, photocopying and emails as necessary.
