Job Description:
We are looking for a professional Receptionist/Administrator to provide admin support to the management team.
This role will also be front of house, you will greet visitors and answer the phones jointly with other members of the team.
Duties:
1. Answering the telephone and monitor voicemails.
2. Open the post, distribute and scan to the necessary staff.
3. To confirm bank details and assist the accounts department.
4. To identify callers' property needs and requirements and directing calls as necessary.
5. Inputting enquiries, producing files, contact details, information onto the CRM database system.
6. Assist management with any emails, letters, tenancy schedules and reports that need to be produced and sent to tenants/clients – some limited typing.
7. The management of the key system to include the signing out of keys to contractors, clients and joint agents as required as well as ensuring keys are returned promptly and tracking the whereabouts of keys.
8. Responding to website enquiries, ZOOPLA, BOXPOD websites and brochure downloads, dealing with them as necessary.
9. Producing property emailers as per surveyors’ requests (generating data using the CRM database).
10. Obtaining quotes for EPCs, asbestos surveys, buildings surveys and logging as required.
11. Producing monthly reports to send to Costar (a database recording company) to keep them up to date with deals.
12. Updating the internal property database weekly.
13. Producing and amending property details using Microsoft Publisher.
14. Producing weekly introduction reports to clients as required and recording any further introductions.
15. Opening up new files and allocated job numbers as required.
16. Producing Promaps (location & site plans) for property details.
Experience:
1. Must have worked in a similar role - experience of working in property would be an advantage.
2. Must have experience in Word, Excel and be able to type.
3. Have excellent communication skills - both written and verbal.
4. Be professional, able to multi-task and prioritise workloads.
This is an office-based role working Monday to Thursday 9.00am - 5.30pm and Friday 9.00am - 5.00pm.
