Eden Project is looking for a highly skilled and experienced executive manager to support the CEO with all aspects of management. The ideal candidate will be born organised and have a strong EA background working at executive level. The role requires a proactive approach to managing a busy workload, so the ability to deal with multiple tasks, prioritise accordingly and work at pace is essential.
It would be an added bonus if you have an interest in gardens and environmental sustainability.
In addition to the above you must have:
1. Excellent interpersonal skills, including persuasion, diplomacy and influencing.
2. Ability to communicate clearly both in writing and speech.
3. Excellent organisational and planning skills and the ability to work well under pressure.

JOB DESCRIPTION
Job Family Definition
Roles within the Business Support job family are dedicated to optimising professional, technical and administrative services, which support the work of other job families in making Eden successful.
Role Purpose
To provide accurate and reliable administrative and project management support to the Chief Executive Officer (CEO), as well as providing additional detailed, analytical support as required.
Key Accountabilities
6. Working as Executive Support Manager to the Chief Executive Officer, taking responsibility for managing own workload and enabling the CEO to operate as effectively and efficiently as possible.
7. Proactively managing a highly efficient diary system for the CEO, always ensuring accuracy and attention to detail. Planning and arranging travel, accommodation, etc. as far in advance as possible to maximise cost savings.
8. Monitoring and responding to correspondence on behalf of the CEO (emails, post, guest lists, etc).
9. Provide administrative support involving production of documents (proof-reading final documents), document presentation. Develop and manage an online filing system that can be accessed remotely, manage email folders, etc. Arrange all files on the IT network with logic and clarity for easy access as required. Abides by the Company’s IT Policies and Procedures.
10. Assists the CEO with the preparation of key documentation (e.g. Board Reports, as well as preparing ad-hoc analysis as requested by the CEO). Conducts detailed analysis of complex information as required reporting back and highlighting issues to CEO/Directors. Ensures that any paperwork with deadlines is completed in a timely manner, multitasking proficiently when required.
11. Produces work of an exceptionally high quality contributing to and maintaining Eden’s image both internally to its staff and externally to its contacts, members and suppliers.
12. Maintains a constant, professional approach and acts as a positive ambassador for Eden at executive level.
13. Establishes continuous, first-class communication channels between Stakeholders, Directors and Senior Managers at each level and Eden’s employee teams in the field enabling the free-flow of all relevant information to be transmitted promptly.
Demands of the Role
Education & qualifications
Educated to GCSE Level, A-C Grades (or equivalent) with excellent literacy and numeracy skills. Formal administrative or secretarial qualifications (RSA/OCR Level 3), required to support typing and (if obtained) shorthand competency.
Knowledge & skills
Role holder will have a minimum of 3 years’ experience working at a senior PA level (working to Board Level Director). Excellent IT literacy skills including an advance knowledge of Microsoft packages (Word, Excel, PowerPoint, Outlook).
Decision- making
Organises and prioritises own work within established procedures, referring complex issues to Line Manager. Able to use own initiative to resolve issues wherever possible. Decisions may require confidentiality and networking within the organisation to develop the right outcome.
Resourcefulness
Excellent attention to detail and accuracy, the role will largely work within defined parameters, however these will often be at a senior/confidential level and may therefore require adaptive thinking. Reactive problem solving will be a feature of this role with the level of operation and types of queries/projects handled.
The role holder will have excellent organisational and planning skills. They must also be able to adapt to changing priorities, deal with multiple tasks, prioritise accordingly and work at pace.
People & asset management
Post holder will manage a small team of people providing administrative support to the Executive team and will be responsible for budget sign off approval for up to £1k. Small amount of expense management and responsible for the security of shared systems and very confidential information.
Dealing with highly confidential matters with discretion, tact and diplomacy and awareness of GDPR.
Communication & visitor experience
Excellent communication skills (written and spoken) and visitor focus is a key feature of this role. The role holder will be able to communicate effectively to team members at all levels, together with being able to support senior level guests as required. Approach and methods will need to constantly adapt to suit the appropriate audience. This is a high-profile role where the level and style of communications will be critical for the presentation of the individual and Eden. The role holder will regularly be dealing with senior external partners and as such a high degree of inter-personal skills will be required within this position.
Operational environment
Based remotely, with occasional visits to site or London as required.
