If you’re ready to take ownership of diverse finance tasks and support our operations with precision, we’d love to hear from you What You’ll Do As a Finance Administrator, you’ll play a key role in ensuring the smooth running of Voltix Services by handling responsibilities such as: Finance Tasks Collating and reviewing timesheets, ensuring hours and travel expenses are recorded accurately. Managing engineer fine repayments, tracking them in a dedicated spreadsheet, and reconciling payments during bank reconciliations. Overseeing online orders, recording purchases in spreadsheets, and reconciling PayPal and purchase orders. Chasing overdue invoices weekly using Google Sheets, tracking updates and payment notes collaboratively. Maintaining the All-Star fuel cost reconciliation spreadsheet and aligning with Xero charges. Operational Support Overseeing uniform stock and placing orders as needed. Coordinating rental vehicle bookings during vehicle repairs, liaising with garages, operations, and relevant teams. Managing congestion and Dart charges, ensuring vehicles are added or removed from systems promptly. Ordering and managing fuel cards, Screwfix cards, and Toolstation cards for employees, while tracking lost card costs for reimbursement. Supplier and Subcontractor Management Setting up new suppliers and approved subcontractors, ensuring all necessary compliance documents are completed and maintained. Monitoring and updating subcontractor insurance and certifications, ensuring records are accurate and accessible. Compliance Support Reviewing and updating compliance documentation with guidance. Conducting monthly compliance audits to ensure adherence to regulatory and internal requirements. Managing and updating training and certification matrices, including IPAF, PASMA, and other engineer qualifications.
