We are looking for a Legal Secretary to join our Real Estate team in our Swindon office. You will be providing a full secretarial and administrative support role to a number of Fee Earners within our Real Estate team as well as more widely within the department.
You will be responsible for:
1. Providing a full legal secretarial service to include pro-active diary management, correspondence production (via email, letter or online forms) utilising our Case Management and IT systems as appropriate.
2. Ensuring our Fee Earners are supported to deliver a client focused service through telephone calls and emails to clients and third parties, following up and chasing open issues.
3. File management including electronic file management on the IT systems, following correct procedures to aid rapid retrieval and provide an effective source of information. Photocopying appropriate documents and setting up and archiving files.
4. Efficiently responding to clients, ensuring that an appropriate answer is given or an accurate message is taken and passed to the relevant member of the team for action.
5. Assisting with the coordination of internal and business development events, which may include, liaising with Marketing to get relevant literature, sending out invitations, liaising with external contacts, and booking catering where required.
6. Preparing and completing all necessary forms relevant to the team delegated by the Fee Earner.
7. Completing financial transfers, under instructions from a Fee Earner.
8. To produce draft bills using our accounts system, time breakdowns, bills that have been drawn up by the Fee Earner.
9. Monitor the daily email, voicemail and post for the Fee Earners (where applicable) and seek advice from colleagues in responding to urgent correspondence to ensure that client needs are met as part of the Firms' professional service. Sending emails on Fee Earners behalf where appropriate.
10. To undertake audio and copy typing. Taking minutes at internal meetings, follow up on actions, distributing minutes.

18. Excellent user of MS Office including Outlook, Word, Excel, PowerPoint

Working hours & location:
This is a hybrid role based in our Swindon office.
It’s a full-time position, 35 hours per week, Monday to Friday.
