Background & Job Purpose
Reporting directly to the Head of Business Transformation and working within the Defect Free team, the O&M Manager will collaborate with project teams and the supply chain. The role involves taking ownership of the compilation, preparation, and distribution of project operation, maintenance, and sustainability information to clients.
Job Scope
The successful candidate will work within a direct team of three, managing the other two team members and resourcing the workload on a project-by-project basis. The O&M Manager will oversee and support the production of all client operation and maintenance information while also compiling project manuals assigned to them personally.
O&M Manuals form a crucial part of the Defect Free promise to clients, making this role essential in delivering projects and ensuring a seamless handover experience. Additionally, the role will involve working with the wider Defect Free team to develop and innovate the approach to O&Ms, aiming to enhance project information delivery through new technologies, including 3D information and Matterport scanning.
Core Activities
Team Management: Overseeing the O&M team, supporting junior members, allocating resources to projects, and reporting progress to the Head of Business Transformation.
Project Coordination: Collaborating with Construction Managers, Project Managers, Design Managers, and the Technical Services Manager to establish contractual requirements and deadlines for O&M documentation.
Stakeholder Communication: Working closely with project teams, particularly the Information Manager, to ensure accurate subcontractor and client professional team details are available in the electronic document management system (Procore).
Procore Super-User: Managing the coordination and review of O&M manual content using Procore, ensuring efficient collaboration between subcontractors, the O&M team, project teams, and clients.
Supply Chain Liaison: Maintaining regular communication with subcontractors to ensure documentation is submitted on time and building strong relationships to streamline the process.
Quality Assurance: Conducting QA checks on O&M documentation, providing feedback, and requesting revisions where necessary before submission to project teams.
Internal Collaboration: Engaging with internal project teams via email, telephone, and site visits to facilitate timely review and approval of documentation.
Manual Preparation: Producing O&M manuals in USB, hard copy, or online formats, ensuring completeness, relevance, and project-specific details.
Client-Specific Delivery: Uploading or formatting O&M manual content per client-specific requirements and portals.
Project Involvement: Attending project kick-off meetings and handover days to ensure smooth O&M delivery to clients.

Industry Experience: Proven experience in a construction or related field with strong computer literacy. Experience with EDMS is essential ; familiarity with Procore is highly desirable.
