JOB DESCRIPTION Job Title: Dispensary Manager Reports To: Practice Manager and Partners Job Summary: To provide efficient and accurate dispensing of medication to the patients, and to ensure effective financial control of the Dispensary Job Responsibilities: To be responsible for the commercial buying of drugs and Surgery sundries for the Practice. To gain information and negotiate sales terms from pharmaceutical companies and or their representatives concerning the commercial details of their products. To maintain cost effective supplies of those drugs that are purchased centrally on behalf of the Practice. To devise and explain to each Dispenser the mechanisms for ordering from the central supplies. To ensure and maintain effective distribution of dispensing supplies to the Surgery. To focus efforts to the maximum benefit of the Practice with respect to the policy decisions made from time to time by the Practice. To perform computer searches as required with the clinical computer system and present information in an analytical way. As required, to represent the Practice in the PCT and liaise with the PCT prescribing team. To act as Health & Safety Committee Representative for the Dispensary. To lead the team of Dispensers and organise a weekly rota or deputise the latter as required. To oversee training of new Dispensers. To liaise with the Lead GP for Dispensing over formularies. To complete the annual DSQS as required Reconcile invoice Ensure prescriptions are collated, endorsed and submitted to Prescription Pricing Authority (PPA) each month and associated analysis Carry out appraisals and identify training needs based on competencies required for the DSQS Arrange staff meetings and / or training, as required Ensure SOPs are in place and reviewed on at least an annual basis Ensure team members complete significant event forms correctly and in a timely manner Responsible for maintaining efficient, cost effective stock control, minimising wastage through out-of-date stock Confidentiality: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential. Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice Policies and procedures relating to confidentiality and the protection of personal and sensitive data. Health & Safety: The jobholder will assist in promoting and maintaining their own and others health, safety and security as defined in the Practice Health & Safety Policy, to include: Using personal security systems within the workplace according to Practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified. Personal/Professional Development: The jobholder will participate in any training programme implemented by the practice as part of this employment, such training to include: Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work. Carrying out annual individual performance reviews for Dispensers after suitable training. Contribute as required to the Practices achievement of Quality and Outcomes Framework points. Be prepared to cover roles where there are staff shortages especially at short notice. Promote a professional approach at all times by choice of attire, attitude and example shown to patients and staff both in and out of the practice. Communication: The jobholder should recognize the importance of effective communication within the team and will strive to: Communicate effectively with other team members Communicate effectively with patients and carers Recognize peoples needs for alternative methods of communication and respond accordingly. To attend the quarterly Dispensary meeting as well as quarterly Staff Meetings wherever possible. Keep the Practice Manager informed of any relevant issues. Contribution to the Implementation of Services: The jobholder will: Apply Practice Policies, standards and guidance Discuss with other members of the team how the Policies, standards and guidelines will affect own work Participate in audit where appropriate. Report any concerns over the probity of other team members to the relevant Manager or GP as appropriate Complete the annual DSQS form Under take staff annual appraisals Complete and send monthly PPA claims
