Key Responsibilities:
1. Input into policy formulation, review, and deployment across the SSA region.
2. Management of the SLA of the appointed Fleet Management Provider.
3. Manage all fleet-related services, including lease contracts, tracking systems, fuel cards, and maintenance adjudication while ensuring strict adherence to SLA.
4. Accountable for all fleet reporting requirements.
5. Act as a point of approval for all fleet-related activities within the Delegation of Authority assigned.
6. Ensure that all fleet-related administration is managed accurately and in a timely fashion, holding providers to account where applicable.
7. Identify and optimize cost-saving opportunities.
8. Act as the Proxy for the business.
9. Accurate and comprehensive record keeping.
10. Manage the accident management process and roadside assistance.
11. Full traffic fines administration, including payment and deductions via payroll.
12. Project management related to fleet and related services.
13. Monitoring of maintenance and approval of costs of tyres and general maintenance.
14. Monitoring fraudulent vehicle activity.
15. Monthly submission of new joiners, leavers of the company, pool, and allowance vehicles.
16. Support with fleet data regarding annual insurance premium renewal.
17. Drafting and distribution of tax fringe benefit letters.
18. Facilities Management & EHS Management:
19. Management of Saint-Gobain appointed contractors, cleaners, and service providers.
20. Manage landlord contractual services and adherence to health regulations according to legislation.
21. Manage departmental budget.
22. Manage and review business continuity plan.
23. Coordinate monthly safety meetings and administration related to SHE.
24. Ensure landlord responsibilities for the maintenance of all services in the building.
25. Coordinate the renewal of supplier contracts.
Minimum Requirements:
This role requires an individual with a tertiary degree in Fleet Management, Logistics, Supply Chain, or BCom. A minimum of 5-8 years in fleet management experience and experience in facilities role will be an added advantage. You need to have been responsible for a fleet of not less than 200 vehicles and office management with 170 employees. The ideal candidate must be proactive in identifying any risks or non-compliance with policy, with the ability to communicate with stakeholders at all levels regarding matters related to fleet and facilities management. Knowledge of ARRTO legislation and OHSACT will ensure you excel in this role. The ideal candidate must possess strong administrative skills, including Excel skills, SAP, and people management.
Objective:
The objective of this role is to provide a comprehensive fleet management solution for the Saint-Gobain Sub-Saharan Africa (SG SSA) territory. The role consists of consolidated services such as driver monitoring/tracking, training and management, accident, licensing and traffic fine management, roadside assistance, and fraud management, among others. The key deliverables include monitoring and maintaining the fleet in good operating condition so that SGSSA and all its divisions can adhere to fleet management logistics and policy, administration, and vehicle maintenance efficiently and cost-effectively.
The overall responsibility includes managing the facilities function holistically, which consists of managing the landlord and their contractual roles and responsibilities, including cleaning, consumables, security, canteen, and maintenance services. Additionally, managing facility contractor services and cost center budget for Midrand HQ offices, and supporting the Head of EHS in managing the Midrand HQ EHS.
