Job overview
The North East and Yorkshire School of Pharmacy and Medicines Optimisation are looking for a Project Support Officer to provide temporary family leave cover. As part of a small team responsible for the management of a dedicated business planning function within the NHSE School of Pharmacy, the post-holder will assist in the development of a business planning annual cycle and requisite processes, along with the negotiation with the NHSE School management team and other NHSE functions.
The role will also support the delivery of key national projects and programmes which respond to emergent strategic workforce issues. This will involve supporting a portfolio of changing and innovative developmental agendas, many of which will be evolutionary.
Main duties of the job
The main focus of the School team is the delivery of a range of projects and workstreams to contribute towards implementing the improvement, innovation and transformation programmes for NHS England. This is at the heart of the significant workforce transformation underpinning the vision set out in the NHS Long Term Plan.
* Provide high quality project and administrative support, including provision of information and analysis;
* Arrange and service a wide range of internal and external stakeholder meetings and events;
* Participate in relevant internal / external working groups and projects;
* Establish and maintain constructive relationships with a broad range of internal and external stakeholders and build strong relationships to help link the national and regional teams in both mandate and business plan delivery;
* Promote and adopt the benefits of workforce transformation and innovation across the NHS; and produce a series of business communication products throughout the year that improve staff knowledge and awareness of NHSE’s mandate and business planning delivery including the annual business plan and quarterly updates.
Detailed job description and main responsibilities
* Support the Programme Support Manager to implement a new cross-organisational business planning function, including:
o development of communication materials;
o costing of the plan;
o development of a system to show delivery and alignment of priorities; and
o negotiation of content and deadlines.
* Support the Programme Support Manager to manage the process of workstream negotiation, working closely with colleagues across the organisation and external stakeholders.
* Follow organisational policies and procedures and other quality approaches as required. Actively supporting others to do the same.
* Maintain professional profile. Work within the limits of own competence and area of responsibility and accountability. Get help and advice where needed.
* Support the activity of the team. Can be counted on to help when people ask for help or support / development.
* Own workload and that of others is managed effectively and quality is not compromised.
* Support the Programme Support Manager to manage the investment planning cycle and prioritisation processes.
* Use organisation equipment and resources effectively and encourage others to do the same. Responsibility for financial control held.
* Monitor and evaluate the quality of work in own area and alert others to quality issues, taking responsibility for the escalation of errors or issues outside of immediate scope of control.
* Provide training advice and support on own area of responsibility and able to support the induction/training of staff within own area.
* Responsible for maintaining one or more system or database e.g. Project information systems, using information systems to create reports, working with the School management and performance team.
* Undertake surveys and audits as necessary to own work. May undertake complex surveys relating to the transformation and innovation workstreams, and the Business Plan content.

* Educated to degree level or equivalent level of knowledge
Knowledge and Experience
* Advanced knowledge of MS office packages
* Experience of finance and accounting processes to support financial planning
* Experience of taking information from a number of sources and providing analysis, summary and options within detailed report information

* Excellent and highly developed time management skills with the ability to recognise and respond to conflicting priorities or sudden unexpected demands and adjust work as required
