Overview
We are seeking a highly organised and detail-oriented Business Administrator to join our team based in Hungerford, Berkshire. The ideal candidate will possess strong administrative skills and a proficiency in various office software, including Xero, Excel, Outlook, Word and Power Point. This role is essential in ensuring the smooth operation of our business functions, providing support to management, and maintaining efficient office processes.
Duties
* Coordinate and oversee all office activities.
* Oversee the day to day running of the finance function and the management of external accountants/auditors, including using the accounting software Xero.
* Ensure adherence to relevant company procedures and policies.
* Coordination of customer care.
* Handle phone calls and all related correspondence.
* Manage company emails, letters and packages.
* Prepare documents and presentations.
* Organise meetings, scheduling appointments.
* Prepare ad-hoc reports and forecasts requested by Directors.
* Assist in sending out tender packages and contracts.
* Coordinate monthly invoicing.
* Continually seek operating efficiencies.
* Perform data entry roles, including updating records and databases for personnel, financial and legal information.
* Manage inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations.
* Maintain general office files, including job files, and other files related to the company’s operations.
* Purchase office supplies, equipment, and furniture.
* Oversee the maintenance of office facilities and equipment.
* Perform other relevant duties when needed.
Qualifications
* Proven experience in an administrative role or similar position.
* Strong organisational skills with the ability to multi-task and prioritise tasks effectively.
* Proficiency in Xero, Excel, Outlook, Word and Power Point.
* Excellent data entry skills with attention to detail.
* Demonstrated ability to maintain confidentiality and handle sensitive information.
* Strong written and verbal communication skills.
* Ability to work independently as well as part of a team in a fast-paced environment.
* Familiarity with general office procedures and practices.
