Full job description
Job Purpose: Use the manual and computerised systems including PAS, ENVOY, PTS, TEAMS and CLIP to work as part of the Pre-Operative Assessment clerical team assisting with the smooth and efficient running of the Pre-Operative Assessment Clinic. Provide a comprehensive receptionist service for the department and administration duties as set out in the job description. Make appointments on the Trust IT systems in accordance with agreed policies and procedures. Provide accurate, timely information to assist nursing staff in good management of their Pre-Operative Assessment clinics. The post will also include answering telephone queries and updating the hospital PAS system. Ensure the confidentiality of all patient information and Trust business.
Key Duties:
1. Work on own initiative with supervision available as required.
2. Participate in reception duties for Pre-Operative Assessment Clinic Countywide.
3. Greet patients in a polite and respectful manner and promote patients' sense of dignity at all times.
4. Be the first point of contact for the majority of patients.
5. Use manual and computerised systems including PAS, CLIP and digital Pre-op solution.
6. Check registration details and demographics for accuracy and ensure updates on PAS.
7. Record the patients' attendance to clinic and outcome their appointment on departure.
8. Notify secretaries of DNAs via the agreed proforma.
9. Deal with enquiries from patients, the general public and other staff as appropriate.
10. Ensure the smooth daily running of the Pre-Operative Clinic reception desk.
11. Liaise with ambulance control for ensuring the patients' return journey home is scheduled.
12. Carry out any other duties appropriate to the grade as requested by the booking team.
13. Prioritize workload according to demands of the department.
14. Reschedule Pre-Operative assessment appointments in accordance with the agreed S.O.P, under the direction of the administration team.
Communication Responsibilities:
1. Ensure good communication between the administration team and the clinical team.
2. Demonstrate tact, diplomacy, patience and empathy in patient contact.
3. Respond to patient telephone or face to face complaints in the first instance.
4. Impart clear, concise appointment related information to patients and staff.
5. Use interpersonal skills to interact with a variety of patients from differing backgrounds and cultures.
6. Communicate appropriately with patients who have special needs.
7. Deal with messages left on the out of hours answerphone service and any emails received.
8. Work collaboratively as a member of the Multi-Disciplinary team.
Clerical Responsibilities:
1. Answer general telephone queries from patients, health professionals and the general public.
2. Support the appointments team and nurses with cancelling patients if necessary.
3. Amend and cancel appointments appropriately.
4. Generate appropriate letters and cross reference patient details for accuracy.
5. Liaise with other Pre-Operative Assessment clinics across county.
6. Provide clerical support for nursing staff countywide.
7. Destroy confidential waste appropriately.
8. Ensure computer, printer equipment and stationery is available and working effectively.
Educational Responsibilities:
1. Demonstrate working practices to new and existing employees.
2. Have sufficient knowledge of Departmental clinical procedures to inform and advise patients.
3. Ensure your training requirements are up to date within Trust targets.
General Responsibilities:
1. Observe confidentiality of patient records at all times.
2. Use acquired knowledge to inform patients of the benefits of Pre-Operative Assessment.
3. Manage and prioritize own workload, taking identified priorities into account.
4. Review procedures regularly and advise of any improvements.
5. Comply with department sickness SOP and report any absences.
6. Report any equipment faults or hazardous situations.
7. Report any accidents, untoward incidents and complaints.
8. Ensure all Trust standards and policies are observed.
9. Remain professional at all times.
