Known internally as the Facilities Co-ordinator, the Facilities Administrator will play a crucial role in ensuring the smooth operations of our Enderby offices. You will perform routine maintenance checks to ensure the site is clean and safe, work with external vendors to organise repairs, maintenance and inspections as needed, manage stock, and assist in co-ordination of office moves to include furniture and equipment set-up. Willingness and ability to help with basic DIY is therefore a bonus You will be responsible for maintaining good Health & Safety standards on-site, which will include conducting regular spot check and diarised inspections and assessments, maintenance of incident logs, and keeping our safety equipment and systems in good working order. In addition, you will have some Reception responsibilities to include meeting and greeting colleagues and visitors at key times, ensuring the reception area is clean and presentable, and taking receipt of and distributing post and deliveries. You will look after multiple mailboxes and ensure all emails are dealt with promptly and accurately. In addition, you will be tasked with the provision of general administration support such as data entry, filing and record keeping, supporting senior staff with travel and accommodation requests, and arranging meeting rooms and catering for key meetings or events. There are definite paths to progression within this role when established as the team continues to grow. For the right candidate we would be happy to consider future IOSH (Institution of Occupational Safety & Health) qualifications as well as supplemental First Aid and Fire Warden training when in post. Please note, the working hours for this post are Monday to Friday, 08.45-17:15 with a 1 hour unpaid lunch. There is a canteen on-site with other food/drink options close by. Very occasional out of hours work may be required. You will need to be approachable, friendly, and an excellent communicator first and foremost, with previous administrative experience and ability to pay close attention to detail. You will need to be comfortable managing an array of different tasks and dealing with multiple and occasionally conflicting priorities with no two working days completely identical. As there will be a requirement to work from one of our other sites once a month (current satellite sites are situated in or near Northampton, Cambridge, Colchester, Southport, Manchester, and Leeds), you will ideally need a driving licence and access to your own vehicle as some of our sites are not easily accessible by public transport and we cannot normally reimburse taxi fees as part of travel expenses, so this would be a cost to you to consider. Own vehicle mileage will of course be covered when visiting our other sites.
