Qmed Pharmaceuticals Ltd is seeking a highly organised and proactive Administrative Clerk to join our dynamic team in the Unlicensed Medicines Department. The Administrative Clerk will be primarily responsible for maintaining accurate records, creating and managing documents, and ensuring smooth communication across teams to support departmental operations. This is an excellent opportunity for the selected candidate to develop themselves in any of the Departments within Qmed (sales, procurement, logistics, administration, QA, operations). Qmed will support the selected candidate in their training, making this role perfect for someone early in their career who would like to enter the world of Pharma.
Key Responsibilities
Record Keeping
1. Maintain and update accurate records and files, ensuring data integrity and accessibility at all times.
2. Organise and manage the department's databases, ensuring all records comply with regulatory requirements.
3. Assist in archiving documents and retrieving files when required.
4. Monitor and ensure the proper filing of sensitive and confidential materials.
Document Creation
1. Create, format, and maintain documents, invoices, and presentations, ensuring they adhere to company standards.
2. Draft and proofread correspondence, meeting minutes, and internal communications to maintain clarity and professionalism.
3. Ensure that all departmental documentation is accurately compiled, stored, and easily retrievable.
Liaison and Communication
1. Act as a point of contact between internal teams to facilitate communication and ensure smooth operational workflows.
2. Liaise with external stakeholders from either a sales or procurement perspective.
Administrative Support
1. Provide general administrative support, including handling mail and calls.
2. Assist team members with tasks dependent upon where support is needed, which may involve being involved with procurement, sales, logistics, etc.
Skills and Qualifications
1. Proven experience in an administrative role, with a strong emphasis on record keeping and document management.
2. High attention to detail and accuracy, particularly when handling confidential or regulatory documents.
3. Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
4. Proficiency in Microsoft Office Suite, particularly in Word, Excel, and PowerPoint, and familiarity with database management systems.
5. Excellent written and verbal communication abilities.
6. Ability to work independently and as part of a team in a fast-paced environment.
