Parts Administrator
Stanton, Suffolk
We are delighted to be working for an established business who are searching for an experienced Parts Administrator. In this role, you will take ownership of all open orders and enquiries to ensure the smooth running of the business. From sourcing parts to fulfill orders, to ensuring the correct parts are delivered and payments are received in due course, you will be the first point of call for customers.
Essential Skills:
In-depth knowledge of Sage 200 and Microsoft Office is essential.
Duties include, but are not limited to:
1. Share telephone duties
2. Assisting with customer enquiries to identify parts
3. Creating quotes for customers
4. Creating sales orders from customer orders
5. Creating and sending purchase orders to fulfill parts required
6. Arranging imports of parts from Dutch office and associated custom clearances
7. Arranging imports of parts from USA office and associated custom clearances
8. Regular checking of sales orders and associated PO's still open
9. Ensuring all required information for exporting parts is known (e.g. weights and country of origin)
10. Packing orders
11. Ensuring all orders being shipped are packed securely and well labelled. Photo and origin documentation are sometimes required
12. Arranging for orders to be dispatched on an online system
13. Investigating any other customer requests
14. Completing import declarations for customs as required
15. Credit control: chasing payment from customers
16. Assisting with general requests & part-related queries from USA office
17. Assisting with general requests & part-related queries from NL office
18. Helping arrange Service visits by employees (quotes, orders, bookings etc)
19. Booking new sealer sales and creating deposit invoices
Experience:
1. Proven experience in an administrative role or similar position
2. Proficiency in computerised office systems, including Sage 200
3. Strong data entry skills with a high level of accuracy
4. Excellent organisational abilities to manage multiple tasks efficiently
5. Effective communication skills, both written and verbal
6. A proactive approach to problem-solving and the ability to work independently as well as part of a team
Additional Information:
Salary: £28,000.00-£32,000.00 per year
Pension: 8% of salary paid by the company into pension scheme
Holiday: 21 days holiday plus bank holidays.
