OCU Group have an exciting opportunity for an experienced Receptionist to join our Head Office team in Stockport.
As the face of OCU Group and the first point of contact for visitors, important clients, suppliers and shareholders you will be expected to represent the business with a professional and positive attitude.
The purpose of the role is to provide exceptional customer service and administrative support to the organisation. This will include managing the reception area, handling incoming calls, emails, and enquiries, and assisting with various administrative tasks to ensure the smooth operation of the office and Group.
Duties and Responsibilities
* Greeting visitors and clients in a professional and friendly manner, offering assistance and directing them to the appropriate person or department.
* Manage the reception area, ensuring it is tidy, organised, and presentable to a high standard at all times.
* Maintain a professional atmosphere in the reception area at all times.
* Ensure the reception area is supervised at all times.
* Answer incoming calls promptly, professionally and politely, transferring calls to the appropriate staff members and taking accurate messages.
* Respond to email and forwarding messages to relevant personnel in a timely and professional manner.
* Keeping track of visitors passes and ensure they are returned, keeping an inventory.
* Providing information to visitors regarding the organisation, facilities, and services offered (Wi-Fi details on visitors pass etc).
* Assist with general administrative tasks.
* Arranging couriers & parcel collections.
* Manage office supplies inventory, replenishing stock in the mail room and the reception area as needed and placing orders with vendors.
* Manage parking permits and vehicle registration log.
* Sort and distribute incoming mail and courier deliveries to appropriate recipients daily as and when it comes in.
* Prepare outgoing mail and packages, ensuring accurate addressing and postage.
* Handle complaints or issues with diplomacy and escalate to the appropriate personnel when necessary.
Skills and Experience
* Proven experience in a front of house receptionist role, preferably in a corporate or office environment.
* Ability to maintain a professional attitude at all times whilst in the reception area and around the business.
* Excellent communication and interpersonal skills, with a polite and welcoming manner.
* Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., multi-line phone system, printers).
* Strong organisational skills and the ability to multitask and prioritise tasks effectively.
* Attention to detail and accuracy in data entry, record-keeping, and document management.
* Ability to work independently with minimal supervision and as part of a team.
