Document Controller
Location: any Ramboll UK office

Your new role
As our new Document Controller, you will be working in a market leading support service that is fit for the future. We are a centralised team who work together to deliver administrative excellence and ensure our teams and colleagues across the business are able to excel for our clients. The Document Control Team work together to provide consistent and standardised processes, workflow management and continuous improvement.
Your key responsibilities will be:
* Act as the main point of contact for one or more designated projects.
* Provide support and annual leave cover for a lead document controller on one or more projects.
* Project set up for document control and roll out.
* Build internal and external relationships effectively.
* QA checking documents to ensure they are compliant with project protocols and naming convention.
* Distribution of documents to CDEs via workflows and transmittals.
* Working flexibly with multiple project teams to ensure documents are issued to client deadlines.
* Respond to requests for document downloads.
* Maintaining the exchange of information in our internal ProjectWise.
* Ensure that project teams are aware of the correct use of ProjectWise.
* Provide CDE training to project teams, so they can find information and understand how the projects are run by the client.
* Check that drawing issue sheets, TIDPs and trackers are updated with latest issue.
* Set up distribution lists.
* Attend training when the project is set up to understand the protocol and system.
* CDE and user management, where applicable.
* Liaising with team to plan and resource.
* Work well in a fast-paced environment.
* Ability to highlight and implement process improvements.
* Run reports to check for workflows, RFI, QA rejected documents, drawing comments etc.
* Project closedown and archiving.
Your new team
You will be part of the Document Control team within the Admin Shared Service. We are a centre of excellence for administrative support to the business. The Document Control team oversees document management for all UK projects, including the Buildings, Transport and Energy markets. Our team is friendly, supportive and knowledgeable of document control best practise. You will play a key role in delivering outstanding results to projects that deliver sustainable change that benefits society and nature. You will be part of a collaborative department that enjoys celebrating each other’s achievements.

qualifications

These include:
* Minimum 5 years experience in document control.
* Excellent communication skills, responsive and flexible.
* Excellent planning and organizing skills, with an ability to prioritise tasks.
* Experience in using document control tools including e.g. Asite, Projectwise, Aconex, Viewpoint 4P, Business Collaborator, SharePoint, GliderBim, Dalux, Autodesk Construction Cloud/BIM 360, DefenceShare, CEMAR, InEight, Procore, Trimble and EcoDoc.
* Proficient in MS Office (Word, Excel, Outlook, Teams).
* High attention to detail.
* UK resident for 5+ years, to apply for security clearance.
