Finance and Business Administration Executive maintains financial records, working with external accountants to prepare accounts payable and receivable, recording, checking and reporting financial data, and delivering high-quality customer service.
Responsibilities:
* Monitor and respond to emails in the Finance Inbox.
* Analyse and reconcile Apprenticeship and Skills programme finance data and payments.
* Raise invoices in the TDM finance system (Xero) to be sent to employers.
* Upload invoices for TDM to pay onto Xero, ensuring documentation is available to evidence VAT claims.
* Reconcile payments made in Xero.
* Perform credit control to ensure timely payments.
* Support external accountants and managers with finance queries.
* Work with external accountants to produce accurate quarterly and end of year accounts.
* Liaise with external payroll company and Business Operations Manager to prepare payroll payments each month.
* Support Business Operations Manager and wider management team with budget reporting, cashflow analysis and forecasting.
* Utilise the funding calculator to prepare financial reports and forecasts for governors, managers and directors on a monthly basis and as required.
* Produce the monthly financial report to include three monthly forecasts and an overview summary.
* Manage staff expenses in line with the Expenses policy.
* Ensure general office supplies are always at an adequate level.
* Work with Business Operations Manager to ensure TDM is getting value for money on contracts/purchases.
* Complete all financial tasks in compliance with the rules and regulations of funding bodies, always being ready for any audits.
* Follow the code of conduct and provide excellent customer service internally and externally, using varying methods of communication, including phone calls.
* Compliance with all TDM policies, procedures and legal responsibilities, including ISO9001, Confidentiality, Data Protection and Cyber Essentials.
Qualifications:
An individual with a passion for finance and customer service. AAT qualified, or part qualified CCAB accountant; relevant experience of working in a generalist finance role, experience working with a finance system, advanced Excel skills, and a background in the apprenticeship, adult learning, or job sector are advantageous.
