Job overview
We are seeking an enthusiastic, professional Clerical Officer with strong communication, organisational, and administrative skills. The ideal candidate will be methodical, organised, flexible, and uphold the Trust’s PROUD values. A good understanding of patient confidentiality and administrative experience is required, along with effective computer skills. Experience with hospital computer systems is desirable.
This role provides essential administrative support to the Perinatal Mental Health team.
Main duties of the job
* Maintain effective communication and foster good relationships with internal and external contacts as appropriate.
* Book and administer new and follow-up appointments for patients as appropriate. Ensure effective utilisation of available outpatient appointment slots through regular liaison with colleagues including clinicians and other administrative staff.
* Be responsible for contacting patients by telephone, text messaging, or letter to confirm outpatient appointments.
* Ensure that patient case notes are available and prepared for clinics. File information as appropriate into patient notes. Ensure accurate tracking, collection, and return of these notes as required using PinPoint.

Qualifications
* GCSE standard of education including English and Mathematics at grades C/4 or above / or equivalent experience.
* A-level / NVQ (e.g. Business and Admin).
* I.T. qualifications (e.g. NVQ level 2 or above or EDCL)
Experience
* Demonstrable experience in a Customer Service role
* Demonstrable experience of administration
* Experience of using a range of IT systems
* Experience of using judgement to solve problems
* Experience of following standard operating procedures
* Evidence of developing and maintaining effective working relationships with a variety of people and professionals
* Previous experience of working in an NHS setting
* Experience communicating directly with patients, carers & relatives, both face-to-face and over the ‘phone
