Flexible working options available over 3 to 5 days. The Administrative Assistant will play a key role in supporting the team at Home- Start Manchester with all aspects of office functions, volunteer recruitment and training, and family support, including liaising with other professionals and our trustees. Whilst the role is not directly working with volunteers and families, it is critical to the successful functioning of the Charity and, as such, makes a difference to the children and families we support. In partnership with our Senior Administrator (on return from maternity leave) you will have a busy but diverse workload, with the opportunity to get involved with all aspects of our work. Key Responsibilities of therole Provide administrative support including: Processing referrals for support, liaising with referrers and families to gather initial information Processing potential volunteer enquiries, including initial screening and support to Volunteer Coordinators in the recruitment, selection and training process Liaise with active volunteers, including sending birthday e-cards Entering data onto our client management system and support staff to ensure records are correct and complete for record and reporting purposes Gathering feedback from families, volunteers and partners via regular surveys Managing the compliant destruction of records in line with policy Managing the landline and admin email account and distribute enquiries accordingly Be the first port of call, answering the landline for public or service user enquiries, which may include sensitive topics or welfare concerns Supporting the CEO to process policy updates Collecting and distributing of post from the office Meeting minute taking Administrative support for events, training, campaigns and meetings HR support pension contribution logging, new starters and leavers process, reference requests, DBS Order items as requested by managers for events, families, office etc Support monthly invoice payment process Provide I.T support, liaising with I.T support provider as required This job description is not contractual and is liable to change overtime.
