Personal Assistant to the Archdeacon Location: Chelmsford, Essex Job Type: Part time (24 hours) (Monday-Thursday) Salary: £27,500 - £28492 (Pro-rated £18,857 - £19,537) We are currently recruiting for a highly organised and dedicated Personal Assistant to support the Archdeacon in a dynamic office environment. This pivotal role ensures the smooth operation of the Archdeacon's schedule and effective management of all administrative tasks. The ideal candidate will demonstrate a proactive approach, possess excellent communication skills, and uphold the highest levels of confidentiality and discretion. Day-to-Day Responsibilities: Manage and optimise the Archdeacon’s calendar, ensuring efficient scheduling and preparation for all appointments and meetings. Address and resolve potential scheduling conflicts, prioritising tasks effectively. Prepare for key meetings by collating documents, creating agendas, and distributing minutes. Record minutes or notes at meetings as required. Respond to enquiries and draft correspondence for the Archdeacon’s office. Provide a warm and professional welcome to office visitors. Conduct research relevant to the Archdeacon’s ministry and present findings in an accessible format. Oversee arrangements for vacancy meetings and the clergy appointment processes. Administer DBS applications and renewal processes for clergy. Coordinate the Archdeacon’s Visitations and manage related administrative tasks. Organise training events and manage related documentation and materials. Support the Ministry Development Review Scheme by scheduling and coordinating meetings. Provide administrative support for clergy discipline measures and other legal and governance matters. Manage the Archdeacon’s Discretionary Account and maintain office supplies. Required Skills & Qualifications: Proven experience in an administrative or personal assistant role. Exceptional organisational and time management skills. Strong written and verbal communication skills. Commitment to maintaining confidentiality and exercising discretion. Proficiency in Microsoft Office and adaptability to new digital tools. Experience in handling sensitive information and managing multiple priorities. Familiarity with church or non-profit organisation operations is preferred.
