Role and Responsibilities Provide high level 1-1 support to one Partner, Head of Africa Financial Services. Extensive diary management (both personal and professional); coordinating internal and external meetings in the UK, Africa, Asia and Europe. Organize national and international travel including visas, flights, cars and hotels. Ensuring that visas and multiple passports are up to date. Work with Portfolio companies to plan the board meeting schedule for the year ahead. Forward-planning travel for the year around board meetings, investor meetings and internal offsites. Board meeting prep; organize internal meetings as required; collate and print all board materials ahead of time. Similar prep required for Partner, Leadership Team and Investor meetings. Prepare for conferences, schedule meetings during each event with other delegates. Prepare for speaking engagements and press interviews. Acting as the central point of contact for board company secretaries, EAs, and the Africa Financial Services team based in London and Johannesburg. Full inbox management; screen, and where necessary act upon, all email communications (both internal & external). Manage general personal and professional administration of a highly confidential and sensitive nature. Monthly reconciliation of the Partners’ expenses. Organize Africa Financial Services team offsites. Additional ad-hoc tasks. Office Management Responsibilities Manage relationships with vendors, service providers, and landlord. Coordinate with IT department on all office equipment and work with IT to troubleshoot when issues arise. Onboard new employees: ensure smooth IT setup and perform right to work checks. Work with the Finance team on office budgets and reconciliation of invoices. Work with the landlord to manage maintenance, facilities and office compliance with fire safety standards, health & safety and PAT testing. Responsible for maintaining AV equipment in 2x meeting rooms. Arrange team social events – team buildings / annual parties. Handle all mail, shipping, couriers and deliveries. Order and maintain office supplies. Able to propose and implement any processes/procedures that might enable the office to operate more efficiently. Qualifications and Experience 10 years EA experience in the Private Equity / Finance / Professional Services Industries. Undergraduate degree. Advanced MS Office Suite. Solid background in diary and inbox management. Extensive experience of travel coordination – experience working in Africa a bonus. Attributes and Competencies Polished, proactive and conscientious with an eye for detail. Team player with good communication skills and ability to set priorities independently. A problem solver with a “can-do” attitude. Calm and unflappable demeanor with both patience and a sense of humor. Perfect written and spoken English essential.
