Job Description
We are currently looking for an experienced receptionist to join our team who preferably has some dentistry related experience. If the candidate is willing to train as a nurse, it will be an added advantage.
You will ensure that the reception is organised in an efficient manner and patients are looked after during their visit to the practice. You will also be responsible for day to day administrative duties.
Our ideal candidate would be someone who has experience of working as a receptionist and with experience of the dental profession/medical field. You should have excellent communication and interpersonal skills, and be able to communicate effectively with patients who may be anxious about their treatment. Honesty, confidentiality, and discretion are essential parts of this position, and candidates should demonstrate a good understanding of keeping information confidential under various circumstances.
Reception Duties
* Be the first point of contact for our patients, members of the public, and other service providers
* Welcome all patients arriving at the practice
* Keep the reception areas free of any health and safety hazards
* Book quality appointments and keep the diary running smoothly
* Liaise with labs and suppliers
* Record keeping and filing
* Respond to queries and handle complaints and compliments appropriately
* Answer the telephone in the prescribed manner
* Ensure that the appointment system is efficient and accurate
* Collect and record patient payments
* Comply with any regular audits/checks
* Comply with internal systems and processes for professional conduct and to support the patient journey
Administration and Finance
* Encourage prompt payments and chase outstanding debts according to the practice policy
* Liaise with dental laboratories, supply companies, and other organisations as required
* Send out patient recalls
* Keep the office, reception area, and waiting room clean and tidy
* Attend and contribute to Practice Meetings
* Deputise for the practice manager when necessary
* Organise stock supplies and control
* Undergo training as required to develop your skills and abilities
* Attend refresher and update training for fire drills, medical emergencies, and CPR
* Work at other practice locations from time to time as required
Candidates should have:
* Good IT skills
* Good telephone manner and interpersonal skills
* Excellent organizational and time-management skills
This list covers all basic duties expected of a dental Receptionist and Administration Staff but is not exhaustive; other tasks may be required to ensure the smooth running of the practice including occasional cover at other sites.
