Looking for a Technical Advisor to take on administrative tasks for Engineering and Environmental Managers who work on the largest single contract on HS2 – this is the huge £6n BBV Main Works contract and consists of constructing 90km of the HS2 line consists of 42 Viaducts, 66 bridges, 35 cuttings, 56 culverts, 66 embankments & 4 motor crossings. The role supports and coordinates some 22 Engineers and Environmental Managers reporting directly into the Head of Engineering & Environment on the contract.
The Technical Advisor is a member of the Head of Engineering and Environment team that takes on the administrative burden to allow the rest of the team to focus on higher priority verification activities related to their role. A key aspect of this is that they take on the role of Verification Action Plan (VAP) Co-Ordinator, assisting the team in recording their verification activities and ensuring they are happening as planned. As well as this, they monitor the Contractor’s metrics to assist the team in spotting and correcting non-compliance with HS2’s standards and requirements.
Working on a range of IT Systems – MS Teams, SharePoint, Cemar and eB (document management system) inputting information for the Engineering & Environmental teams. You don’t have to have previous experience although helpful, but strong MS Office and Excel skills are essential.

The role is hybrid working in both Birmingham Snowhill office and Coleshill site office 50% of the time and the rest of the time working from home. There is public transport and shuttle services taking you to Coleshill site office. You will work 2 or 3 days from an office.

Duties and Responsibilities
1. Organisation of regular Head of Engineering & Environment (HeEE) Team Meetings and Workshops. Chairing or co-chairing the meetings with the Head of Engineering & Senior Environmental Managers.
2. Managing the Teams/SharePoint used by the Engineering & Environment Team.
3. Supporting Verification Action Plan (VAP) activities through updating the documentation and ensuring activities are recorded.
4. Document Control support for the team and wider Integrated project Team.
5. Regularly updating Team and wider Integrated project Team organisation charts and circulating them to the wider Team and our Colleagues across the project. Circulating any received Organisational Charts.
6. Representing the Team on Technical Assurance Reviews, co-ordinating the questions set and supporting the TAR auditor with close out of observations.
7. Tracking and supporting close out of Contractual (NEC3) communications. Drafting communications on behalf of the Team when required.
8. Managing the Request for Information (RFI) system, chasing colleagues on close out of actions within the system.
9. Circulating Contractor data, including breaking it down and presenting the key information for the Team to be able to grasp quickly.
10. First point of contact for onboarding of new colleagues to the Team.
11. Ad hoc support of the Head of Engineering & Environment & the team.
Candidate Profile
1. Independent, can pick up and run with tasks with minimal prompting.
2. Organised, both in terms of their own work, but also in support of others' work. Can multi-task, prioritise what needs to be prioritised and manage their time effectively.
3. Strong communication skills, able to build relationships in the team and with our wider shared services and Area North Integrated Project Team.
4. Able to quickly pick up new IT systems and support others in their use. Ideally able to work around them or develop solutions if a system does not work.
5. Can confidently use MS Office Suite, especially Excel.
6. Experience with databases; can organise and interrogate complex datasets.
7. Would suit Senior Administrators or Document Controllers with experience coordinating and working in an engineering or construction office and has been exposed to different IT Systems (Construction Document control system, Document management systems, contract management systems).
8. Would suit anyone looking to develop or start their career in the civil engineering sector but are unsure of what direction to go. Or someone in the sector already looking to move sideways and are not sure of what step they wish to take going forward.
