Reports to: New Docs Ltd Business Manager

Job summary
To aid the Building Management team with facilities management and everyday business tasks.
Job responsibilities
1. Assist with the management of the building, tenants’ needs and facilities management requirements.
2. Assist with the documentation of all issues and coordinate with the Facilities Manager to ensure that it is suitably corrected.
3. Assist Facilities Manager with repair, replacement and maintenance of facilities as needed.
4. Do regular and one-off project work for maintenance and repair projects alongside the Facilities Manager.
5. Perform weekly checks and regular daily activities when onsite.
6. Be onsite point of contact for subcontractors (as needed).
7. Assist with onsite grounds maintenance.
8. Ensure all private rental rooms are always fully stocked and suitable to be rented out.
9. Answer calls and monitor voicemails.
10. Ensure the staff room and private room kitchenettes are sufficiently well stocked.
11. Other one-off project duties to be undertaken (all necessary training given).
12. Some weekend work may be required, however not without reasonable notice and only infrequently.

Qualifications
* Degree or equivalent level of knowledge acquired through experience and training/development (Desirable)
* An understanding and commitment to equality and diversity (Essential)
Experience
* Facilities management duties (Essential)
* Hands-on experience in either plumbing, carpentry or electrical work (Essential)
* Managing day to day operations (Desirable)
* Liaising with and supervising external suppliers/contractors (Desirable)
* Basic water hygiene tasks (Desirable)
Skills
* Basic handyperson skills (Essential)
* Good oral and written communication skills with an ability to engage effectively with a range of stakeholders, both within and outside of the organisation. (Essential)
* Discretion in handling politically sensitive and confidential information (Essential)
* Ability to use standard Microsoft packages including Word, Excel, Powerpoint, Outlook and other database packages (Essential)
* Proficient in the use of social media such as Facebook, Twitter, LinkedIn, etc. (Desirable)

* Flexible attitude to working environment and ability to work as part of a small and dynamic team (Essential)
* Ability to work on own initiative and be proactive in developing and improving the administration and facilities functions of New Docs Limited (Essential)

Candidates must be eligible to live and work in the UK. Experience in similar roles for a minimum of 12 months is desired.
All work will be completed at location. Homeworking is unlikely to be necessary.
