Royal Mail’s property estate is one of the largest in Europe, with around 1850 properties including local delivery offices, vehicle garages, rail hubs, and automated parcel superhubs. Royal Mail Property and Facilities Solutions is responsible for upgrading and maintaining the safety of our buildings. We have a vacancy for a Facilities Management Works Coordinator based within the National Service Centre (NSC) in Leeds.
The Role
Working in a fast-paced environment with demanding timescales, you’ll coordinate and dispatch jobs to engineers, monitor all building maintenance work requests, ensuring engineer scheduling plans are accurate, achievable, and jobs are carried out efficiently. You will liaise with sub-contractors, managed agents, and the hire team to ensure works are completed on time, identifying jobs at risk and escalating where appropriate to meet targets.
Using your first-class customer service skills, you’ll manage queries through email, telephone, and face-to-face interactions, supporting and working alongside the Helpdesk, Engineering, and customers to maximize resource and productivity while providing a seamless end-to-end customer experience.
Flexibility is key as you’ll be expected to cover varying tasks, including annual leave cover and volume demands across other team areas.
About You
You need to demonstrate the following skills and experience:
1. Customer-focused with a first-class telephone manner.
2. Customer service and administration experience.
3. Knowledge of Facilities Management services and work scheduling is beneficial.
4. A confident communicator with strong conflict management skills.
5. Good organization and problem-solving skills.
6. Experience working with Microsoft Office packages, particularly Excel (filters and formulas), with excellent keyboard skills and a high level of accuracy.
7. Ability to prioritize workloads and manage multiple tasks.
8. Ability to attend the Leeds office 3-5 days a week.
Location/Attendance: 08:00 - 16:00, Monday to Friday, with 3 days per week in the Leeds office. A degree of flexibility is required. We are operating a hybrid attendance approach, requiring you to be in the Leeds office 3 days a week with remote working options for the remaining days. All training will be conducted on-site in Leeds.
Leeds Mail Centre is conveniently located just off the M1, with on-site parking, close proximity to the city center, and frequent public transport links. Facilities include an on-site gym and canteen.
