The Technical Records Department is responsible for the collation and management of aircraft records so that the Continuing Airworthiness of the aircraft, under the management of the Continuing Airworthiness Management Organisation Approval, can be assured.
The Technical Records Officer is responsible for maintaining accurate and up-to-date technical records, which involves maintaining, organising, and updating a comprehensive repository of aircraft documentation. The accuracy and completeness of these records is vital to ensuring regulatory compliance and facilitating efficient aircraft maintenance processes. As such, the Technical Records Officer plays a pivotal role in contributing to and safeguarding the overall safety and reliability of aircraft airworthiness and operations.
Key Responsibilities
The following list of responsibilities is not exhaustive (see ‘Other Duties’ below).
* Responsible for maintaining accurate and up-to-date records of all aircraft-related documentation for the entire fleet, ensuring the Approved Maintenance Programme runs smoothly, and the aircraft remain serviceable. This includes processing and updating maintenance records from eTechLog8 / Technical Records Sheets and updating the company OASES system with the details. Related documentation includes (but is not limited to) maintenance manuals, maintenance logs, Service Bulletins, Airworthiness Directives, certificates of release to service, and other legal documents.
* Ensure that all records comply with the applicable regulations and industry standards and are managed in a timely manner, as required.
* Ensure that all aircraft/engine physical records are stored in secured facilities preventing damage, theft, and alteration.
* Assess Airworthiness Directives and Service Bulletins and circulate company-wide to be actioned.
* Produce forecast reports for the Maintenance Planners/Operators regarding upcoming maintenance requirements (using the company OASES system) allowing them to raise work packs.
* Clear work packs after maintenance and update the maintenance records.
* Update any documentation that is affected by amendments to the maintenance programmes once any changes have been approved and circulated.
* Analyse data and identify trends and patterns indicating potential maintenance issues/problems.
* Ensure that in the event of an accident or serious incident all records for the aircraft are held in a secure place and control access in support of investigation by the applicable state accident investigator.
* Communicate effectively with members of the maintenance teams (to capture and document all maintenance activities accurately) and outside organisations such as regulatory agencies and vendors.
* The Technical Records Officer may be responsible for training other members of the Technical Records Team on new procedures or systems related to aircraft maintenance and record-keeping. All recurrent training courses must be attended and satisfactory pass results achieved.
* Identify where processes can be made more efficient and be committed to continuous improvement.
Other Duties
* As directed by the Technical Records Supervisor and/or Continuing Airworthiness Manager and as considered necessary to meet the day-to-day, ongoing requirements of the business.
* Deputise as directed for the department supervisor during absence.
* The Technical Records Officer must remain up-to-date with evolving aviation regulations and industry standards to enhance safety protocols and ensure compliance in the collation and management of aircraft records in accordance with the requirements of Part-CAMO, Part-M, and the Organisation’s CAME.
PERSON SPECIFICATION
* Familiarity with technical records management.
* Prior experience in aviation and a solid understanding of aviation regulations and industry standards as well as aircraft maintenance procedures and documentation.
* Computer literate with proficient knowledge of Microsoft 365 – Word, Excel, Outlook, Teams.
* Previous data entry experience.
* Ability to work collaboratively in a team and on own initiative.
* Good communication skills with positive and effective interaction since this role involves liaising closely with the engineering teams to capture and document all maintenance activities accurately.
* Detail-oriented with excellent organisational, timeliness, transposing, and accuracy skills.
* Flexible and adaptable with the ability to plan, multitask, and prioritise workload effectively.
* Input into improvement and development of the Technical Records Department.
* Right to live and work in the UK.
* Ability to pass Company background and criminal record checks.
