This role is a 12 months fixed term/secondment opportunity working 09:00 - 17:00 Monday-Friday.
This role is a fantastic opportunity for apprentices who are currently studying for NVQ Level 2/3. Apprentices should note that the salary will remain as an apprenticeship salary as this position is fixed term.
We are seeking to recruit a well-motivated individual to work in our busy Outpatients Department where you will carry out a full range of duties in order to provide an effective and efficient service. As an Outpatient Receptionist, you will be the first port of call for patients coming into the Hospital for Outpatient appointments. With good communication and interpersonal skills, you will have experience of communicating with a wide range of people on all levels either by telephone or face to face. You will be able to work on your own initiative, prioritising your workload and paying attention to detail at all times whilst working under pressure and to tight deadlines. You will be a good team player with a flexible approach to work, a pleasant personality, and a positive outlook.
Main duties of the job
1. Acting as the first point of contact for patients, families/carers and professionals, ensuring a welcoming and calm environment by presenting a courteous, pleasant, and professional image at all times.
2. Registration and Reception of patients arriving for outpatient appointments.
3. Input or amend demographic, personal details of patient attendances to the hospital using the EPR system to provide the Trust with an up-to-date record of patient activity and information.
4. Introduce patients to the clinic area and assist in their non-clinical enquiries.
5. Input Clinic Outcome Sheets onto the PAS and arrange appointments for patients as directed by the clinical staff, ensuring patients are given/sent timely appointments.
6. Ensure that any data created, edited, used, or recorded within their area of responsibility is accurate in order to maintain the highest standards of data quality.
7. Ensure confidentiality at all times, answer telephone calls and relay messages in a timely and appropriate manner, referring clinical queries to the relevant staff member.
8. Track casenotes using the electronic tracing system in accordance with Trust policy and procedure.
9. Provide front sheets and patient identification labels if necessary.
10. Assist with the duties of other outpatient clerical staff where appropriate.
11. Be flexible to the needs of the service/Department and Trust.
12. Ensure the security of the department is maintained and any possible risks are reported.
