The post holder will provide specialised, comprehensive & confidential administrative service for the Coventry & Warwickshire Community TB Service and act as a source of advice and guidance regarding the TB Service. The post holder will also be responsible for arranging, monitoring, reporting and recording TB screening and treatment outcomes in accordance with Service, Trust and National standards, policies and procedures. To act as a first point of contact for dealing with enquiries and take action as necessary liaising with clinical and non-clinical staff, effectively communicating at all levels using written, oral and electronic methods. Must be able to plan and manage a range of complex duties, organise own work to meet deadlines and respond professionally to enquiries both internal and external to the organisation. To act as Lead Administrator for the TB responsible for the supervision of Band 3 Admin Support staff. You will work with a small TB team comprising of A lead TB Nurse and 5 TB CNS and 2 HCAs. We cover TB all over Coventry and Warwickshire and work and support all 3 NHS trust - UHCW, SWFT and GEH. We work very closely with UKHSA and keep notification of TB patients up to date. We also work very closely with the west Midlands TB departments as patients often migrate across. Community connections are very important to maintain such as Council and voluntary sector as we are primarily a community service. Responsible for the effective and efficient delivery of a comprehensive administrative support service. This includes the maintenance of office supplies. Responsible for the supervision of Band 3 Admin Support staff. Establish and maintain agreed systems for effective record keeping including collation and submission of timely statistics. Provide flexible administrative and clerical cover as required across the department. Book new and follow-up appointments according to the Patient Access policy ensuring that all appointments are made as per the specialties instructions and within waiting time targets. To ‘input information onto TB databases’ assisting case managers by ensuring all necessary patient data, demographics and screening results are collated and entered on local database for quarterly statistics, activities and reports as required by Lead TB Nurse. To look up patient sensitive information and patient results for case managers to action and record actions generated by case managers on local database; Prolonged concentration maybe required to ensure accuracy of data inputting and VDU required. To process patient letters and file these & patient information in their patient records in accordance to Trust policy. To participate in the development and contribute to the implementation of service changes as required. This will require undertaking any project work as directed, including obtaining information from the Internet, collation and reporting of data in order to produce reports and spreadsheets utilising relevant Trust IT systems, as determined by the role, ensuring all relevant patient data is collected and input accurately in line with Trust guidelines.
