We have an exciting opportunity for an experienced Medical Records Assistant to join our brand-new team in London for maternity cover. You will be operationally responsible for the management, creation, and delivery of records within the hospital for a variety of clinical areas.
You will actively contribute to service development and help identify opportunities for service improvement. You will support the ward & clinic administration teams to deliver complete and standardized records documents for both inpatient and outpatient departments. We use an electronic records management system to track & trace documents within the two buildings and to support high quality data security and management processes. Together with the Reception and Ward Administration Leads, you will be responsible for the day-to-day records management for various clinical departments including specialist support for Oncology, Imaging, and Outpatients.
You will ideally have some experience working in a similar healthcare role, preferably within private healthcare. Along the way, you will build strong relationships with consultants, hospital senior leaders, a wide range of healthcare professionals, and of course, patients. Working collaboratively alongside the clinical management teams, you will ensure patients benefit from the best possible service while supporting efficient and streamlined business processes.
As a Medical Records Administrator, your duties will include:
1. Delivery of inpatient notes to wards for following day admissions.
2. Delivery of outpatient notes for following day clinics.
3. Scanning and uploading of notes from previous day clinics.
4. Two-point check of discharged inpatient notes.
5. Updating spreadsheet with the location of notes onsite and those being archived.
6. Updating the archiving system with patient details and barcode numbers of notes you will be sending offsite.
7. SARS requests.
8. Uploading of documents sent by consultants/secretaries.
9. Dealing with radiology T&C/ Consent forms.
10. Ordering all documentation for medical records.
11. Checking and sorting notes returned from offsite.
12. Sending pre-assessment documents to nurses at NHS (when requested - immediate action).
13. The merging of duplicate patient demographics.
