We are looking for an experienced and enthusiastic Orthopaedic Service Administrator who is dedicated to providing a safe and efficient service to Orthopaedic patients. Our services receive referrals from Orthopaedic Consultants, GP's, Sussex MSK partnership, and our Virtual Fracture Clinics.
The successful candidate will assist, and work alongside, the Hand Service, Virtual Hand Fracture and Adult Virtual Clinics, and the Patient Access Manager for Outpatients, and will provide a full patient booking administration service to Consultants.
You should possess good written and oral communication skills and function well as part of a team, using your own initiative and ability to prioritise work to achieve deadlines.
You will need to be competent in a range of IT packages, including MS Office, a good telephone manner and be able to empathise with people calling in times of distress.
Main duties of the job
This role is to provide administrative support for the bookings within Orthopaedic Fracture Clinics (Hand Service, Virtual Hand Fracture Clinic, & Adult Virtual Fracture), in their delivery of service to patients and the Trust.
This will involve a range of administrative procedures and practices, as well as handling queries directly from patients, relatives and their carers.
To develop and maintain efficient administration systems, exercising initiative and discretion.
Job responsibilities
Work will include:
* To support administrative duties in an expanding department.
* Managing demand on behalf of the consultant and clinician, avoiding backlog through proactive management and opening of clinic and session availability.
* Supporting management in the early identification of capacity issues affecting performance of urgent and acute referral to treatment standards.
* Providing a point of contact for patients, who remain with queries, and questions that cannot be resolved, escalating complaints to the SOSA where resolutions cannot be delivered.
* Providing day to day delivery of Orthopaedic Fracture Clinics (Hand Service, Virtual Hand Fracture Clinic, & Adult Virtual Fracture) bookings for Orthopaedic Consultants and Hand Therapists & Physiotherapists by phone and face to face contact with patients.
* Providing information to support the Clinical teams which enables recommendations to be made on a regular basis to the Directorate Manager and Clinical Leads to enable them to take positive steps to respond to service delivery.
* Be aware of the correct procedures for dealing with inappropriate referrals. To be responsible for handling patient referrals to other facilities as requested by clinical teams.
* To request medical notes for last minute patient bookings for clinics as required.
* To be responsible for organising and maintaining an easily accessible general filing system for the department.
* Attend statutory Trust training courses as necessary and access training ensuring continued professional development within the service.
* To observe the rules of confidentiality related to patients and departmental information.
Person Specification
Qualifications and Experience
* 5 GCSEs (A-C) or equivalent, including English and Maths
* Educated to at least NVQ Level 3 or equivalent level of competency
* Keyboard skills to RSA Level 3 or equivalent
* Demonstrated knowledge and awareness of clerical and administrative procedures and systems.
* Knowledge and awareness of confidentiality issues relating to the Data Protection Act and Computer Misuse Act.
* Competent in a range of packages including MS Word and MS Excel, and willing to learn new packages and advance current skills.
* Recognised IT qualification e.g. CLAIT, ECDL or equivalent.
