Managing and maintaining the Land Director's (LD) and Planning Director's (PD) diaries;
Taking, maintaining and updating land and planning and new site start meeting minutes;
Assisting in the compilation of land packs for Board approval, both electronic and paper copies, including proofing in order to ensure consistency across constituent parts;
Keeping and maintaining electronic and hard copy files of historic, active and current land purchases;
Sending regular mailshots, marketing and other corporate correspondence and communications;
Updating and maintaining land data bases for site introductions and market intelligence;
Sending correspondence on behalf of the LD & PD;
Arranging and administering internal and external meetings in relation to the land and planning process;
Arranging and administering corporate events and business entertaining;
Managing the land and planning budgets to include the monitoring of invoices received against budgets and keeping records of spend up to date;
Maintaining any planning records and assisting in the administration of planning applications;
Updating and running reports and assisting with the compilation of Board packs;
Assist others with general administration, typing reports, letters and ordering stationery;
Covering various administration positions for holidays;
Assisting with reception when required, and meeting and greeting all guests, ensuring they receive a warm welcome;
To always portray a friendly, professional and courteous demeanour;
Answer all internal and external telephone calls in a timely, professional, warm and friendly manner;
General data processing.
Experience
Experience of working as an administrator, preferably (but not necessarily) in the housebuilding, construction or development sectors.
Qualifications and Training
GCSE Maths and English - Grade C or above (or equivalent)
Skills and Aptitude
Good general administration skills with a strong attention to detail, and high levels of literacy and numeracy.
Excellent communication and organisational skills with the ability to remain calm under pressure and to engage confidently with stakeholders at all levels.
Ability to work independently, remaining focused and motivated, but a desire to be a core part of the team
A 'can do' positive attitude
IT literate, with the confidence to learn new systems quickly and a good working knowledge of Microsoft Office, in particular Microsoft Word and Excel.
