Role Purpose
To act as the welcoming face of La Preme Clinic, ensuring clients are greeted warmly, escorted to their waiting area, and provided with a selection of premium refreshments. This role supports clinic operations by maintaining cleanliness, preparing instruments, assisting the podiatrist during procedures (non-medical capacity), and managing administrative tasks, including bookings and payments, to ensure the clinic runs smoothly and efficiently.
Key Responsibilities
1. Clinical Support
* Ensure treatment rooms are impeccably clean and well-maintained.
* Sterilise and prepare instruments in accordance with clinic standards.
* Manage inventory, including stock counts, expiry checks, and supplier coordination.
* Assist the podiatrist during minor procedures by preparing materials and supporting patients.
1. Customer Service
* Manage patient inquiries via phone, email, in-person, social media, and Cliniko SMS.
* Schedule, confirm, and manage appointments while addressing last-minute cancellations.
* Oversee patient check-ins, collect post-treatment feedback, and ensure a positive experience.
* Facilitate payments, rebook appointments, and process receipts promptly.
* Offer hospitality services, including providing a selection of beverages to patients.
* Handle sensitive patient information with discretion, ensuring GDPR compliance.
* Onboard new patients, providing clear communication about clinic policies and procedures.
* Address and resolve complaints professionally, ensuring patient satisfaction.
2. Office Management
* Maintain the clinic’s cleanliness and orderliness.
* Monitor office supplies, place orders as needed, and liaise with vendors.
* Ensure compliance with health, safety, and industry standards.
* Manage secure document disposal and health and safety reporting (e.g., injuries or hazards).
* Report and document facility maintenance needs, including lighting, heating, and hardware faults.
3. Marketing and Communication
* Respond to online reviews, maintaining the clinic’s 5-star reputation.
* Engage with social media platforms to enhance client interaction and promote services.
4. Finance and Record-Keeping
* Track patient payments and manage billing records.
* Assist patients with insurance documentation when needed.
* Maintain accurate financial records, ensuring receipts are processed and filed correctly.
Qualifications and Skills
* Minimum of 2 years experience in a healthcare or customer service role.
* Exceptional organisational and multitasking abilities.
* Strong communication and interpersonal skills, with a focus on customer satisfaction.
* Basic knowledge of GDPR and health and safety compliance.
* A self-motivated individual with a strong drive to succeed, demonstrating focus, initiative, and a proactive approach to contributing to the success of a small business.
* Proficiency in administrative tools and clinic management software:
o Microsoft Office Suite
o Clinic Management Software (Cliniko or similar)
o Social Media Platforms (Facebook & Instagram)
o Payment Processing System
