As our new Conveyancing Legal Assistant, you will provide general administration assistance to Property Lawyers within the conveyancing team, delivering the highest level of customer service to clients at all times.
Role Responsibilities
* Communicating with clients over the telephone, providing the highest level of customer service to clients at all times.
* Setting up client files within case management.
* Producing initial client documentation, i.e. Authority to Act, Questionnaires, Protocol Documentation, etc., and checking such documents upon their return and requesting further documentation referred to in the same.
* Carrying out Solicitor and Client Due diligence.
* Requesting documentation fundamental to the transaction.
* Ensuring documents are returned by clients and work providers, chasing them if required and progressing transactions.
* Logging correspondence to the correct files/matters.
* Entering data into the correct fields in the case management system from correspondence received.
* Logging and completing tasks on the case management system.
* Performing general administration tasks, including answering telephones.
* Updating all panel members/stakeholders within the business and within the referral businesses with whom we deal.
* Dealing with lenders on both sale and purchase matters such as requesting redemption statements.
* Meeting all key SLAs and KPIs within the department/referrers’ requirements.
* Being a role model for those around you in file management, actions, and behaviour.
* Ensuring individual compliance with all PMPL policies and procedures at all times.
* Attending and contributing in team meetings.
* Reporting directly to the Office Manager.
What we need from you

* Excellent telephone manner, client care, and enthusiasm.
* Strong communication skills both orally and in writing.
* Experience working in an admin role.
* Experience working in a client care environment.
* Understanding of e-mail systems, portals, and other IT as appropriate.
* Good standard of spoken and written English.
* Competent use of MS Office.
* Experience with Case Management System.
