Job Summary:
We are looking for an organised, friendly, and proactive Personal Assistant (PA) to provide high-level support to our Contract Manager. In this fast-paced role, you'll manage both professional and personal tasks, ensuring smooth day-to-day operations. This position is 3 months temporary with potential to move permanent.
Key Responsibilities:
1. Calendar Management: Seamlessly coordinate meetings, appointments, and travel arrangements.
2. Communication: Act as the first point of contact, handling phone calls, emails, and other correspondence.
3. Document Handling: Prepare, review, and edit documents, presentations, and reports.
4. Travel Arrangements: Plan domestic and international travel, including booking flights, accommodations, and transportation.
5. Meeting Preparation: Organise meeting materials, take minutes, and follow up on action items.
6. Personal Tasks: Assist with errands and personal tasks, such as shopping, reservations, and appointments.
7. Project Coordination: Support special projects and liaise with different departments as needed.
8. Expense Management: Track and process expenses, invoices, and reimbursements.
9. Confidentiality: Maintain strict confidentiality and safeguard sensitive information.
Requirements:
10. Experience: Proven experience as a PA, Executive Assistant, or in a similar role.
11. Education: High school diploma or equivalent (qualifications in business administration are a plus).
12. Skills:
13. Excellent organisational and multitasking abilities.
14. Strong communication and interpersonal skills.
15. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and scheduling tools.
16. Keen attention to detail and a proactive approach to problem-solving.
17. Ability to manage sensitive information with discretion.
18. Flexibility to work outside normal business hours, when required.
Preferred Qualifications:
19. Experience supporting C-level executives.
20. Familiarity with project management tools or software.
21. Ability to quickly adapt to new technology and tools.

Salary:
£18 per hour
