The Histopathology Administration Staff are looking for a hard-working, adaptable, and conscientious individual to join our team. Candidates must be enthusiastic, self-motivated, with excellent communication and organisational skills as the role will involve liaising with medical and laboratory staff both internal and external to the Trust.
Excellent attention to detail is crucial as the role involves working with patient records and the use of a laboratory information management system (Epic) to edit and create pathology cases on a daily basis.
This is a varied and challenging role that will require the post-holder to provide comprehensive administrative and secretarial support to the histopathology department with specialty admin support and team leader responsibilities.
Main duties of the job
* Participate in recruitment and selection as necessary.
* Carry out 1-2-1 and appraisal meetings.
* Assist and support administrative staff with their queries and supervise junior staff.
* Provide comprehensive secretarial and administrative support to members of the Histopathology consultant team, junior medical staff, and the administrative/laboratory management staff.
* Prioritise workload according to departmental requirements.
* Respond to a wide variety of incoming email and phone queries adhering to departmental guidelines concerning data protection and patient confidentiality.
* Use the Trust's patient record management database software to assist with completion of pathology case reports including the addition of relevant clinical information and macroscopic descriptions from case documentation and audio recordings, as well as booking-in and quality checking referred cases.
Person Specification
Qualifications
* Educated to A-Level or NVQ Level 3 Customer Service/Business Admin/ITQ or equivalent.
* GCSE Grade C or equivalent in English & Maths.
* Secretarial/typing qualification or equivalent experience.
Experience
* Experience of working in a busy clerical/office or reception environment.
* Experience of dealing with difficult situations and confrontations.
* Experience of complex data entry tasks and producing documents to a high standard using word processing software packages.
* Experience of prioritising work effectively under pressure and to tight deadlines.
* Previous experience of working in the NHS.
* Previous experience of working with medical records/patient information.
* Previous experience of recruitment and selection of staff.
* Previous experience of supervising staff.
* Previous experience of arranging meetings & taking minutes.
Knowledge
* Awareness and understanding of policies and protocols concerning safeguarding confidential documents and general data protection.
* Basic working knowledge of Microsoft Office software (Word, Excel, Power Point) as well as large databases.
* Understanding of the importance of providing excellent customer service.
* Knowledge of Trust information systems (Epic).
* Basic knowledge of medical terminology.
