We are recruiting for an experienced administrator to join the City and Estates team. The City and Estates team manage plot sales and part exchange transactions for new build clients, dealing with transactions for housing associations including surrender and re-grants, leasehold extension, legal charges and ancillary matters. As the team administrator you'll play an important role, developing the foundations that enable the department's success. You'll take a client focussed approach to everything you do, building key relationships as the first point of contact for enquiries and providing exceptional service to stakeholders through your day-to-day responsibilities. In your role as the team administrator, you will: Process reservations for new build plot sales on the case management system, ensuring all information is recorded accurately. Set up files ready for completion including collating the completion statement, financial statements and other paperwork for our legal cashier team. Answer calls from clients in a professional manner and take messages for the Conveyancing Managers when they are unavailable. Manage inbox enquiries during periods of annual leave to ensure inbound enquiries are actioned and passed to the appropriate people. Send hard copy documents to the archiving team when required. Produce and print documents for Conveyancing Managers, ensuring the file is ready and organised as required. Ensure the case management system is kept up to date with relevant information and identifying and correcting any administrative errors. Keep spreadsheets and excel documents up to date with relevant information. Manage the billing and payment processes, working closely with the billing and legal cashiering teams. We are looking for: Experience of working within a similar position is preferred. Legal secretarial experience would be an advantage. PC literate with knowledge of Microsoft Outlook, Word, Excel and PowerPoint. Excellent interpersonal skills with the ability to professionally support senior stakeholders. Ability to organise, plan, prioritise work to meet deadlines. Ability to work confidentially and on highly confidential matters; respecting and maintaining the confidentiality of all information relating to Walker Morris and client matters.
