Intermusica is seeking a highly organised, resilient, resourceful, and tenacious Assistant Artist Manager to work in our internationally renowned artist management department.
Job Description
CORE RESPONSIBILITIES:
1. Develop an understanding of your artists to build and cultivate a strong and trusting professional relationship with them, integral to all aspects of your work.
2. Administer artist diaries, liaising with external contacts (including promoters, venues, other artists, and agents) to arrange logistical aspects of all engagements.
3. Co-ordinate rehearsal schedules, materials, and other requirements.
4. Keep both the current and advance diary up to date for all artists.
5. Oversee the prompt checking, processing, and filing of contracts.
6. Develop an understanding of media rights and coordinate agreement of rights with recording companies if necessary.
7. Assist with travel and accommodation for artists, including researching and booking trips, negotiating travel contributions with promoters, and processing visa and work permit arrangements in advance.
8. Produce detailed schedules for artists to ensure they have all the required information to fulfil their commitments.
9. Work with the finance team to prepare financial paperwork (invoices, statements, etc.) and ensure prompt payments to artists and to Intermusica.
10. Support tax applications by initiating and/or assisting where necessary.
11. Work with Intermusica's Communications & Marketing department on promotional materials, keeping clients' pages on the company's website up to date with concert listings, recordings, reviews, etc.
12. Collaborate with recording companies, local agents, and PR agencies to coordinate promotional activity.
Additional Responsibilities:
1. Attend concerts and industry events on behalf of Intermusica as required.
2. Develop and maintain a thorough knowledge of artists' careers and the promoters we deal with.
3. Organise travel/hotel/meetings/concert tickets for Artist Managers as required.
4. Assist with general office administration.
Job Requirements
1. Graduate calibre with prior administrative experience, ideally in an arts/cultural organisation.
2. Excellent written and verbal communication; confident in speaking on the phone and addressing issues/concerns head-on.
3. Resilient and calm under pressure.
4. Strong ability to multitask and deal with conflicting priorities in a multicultural and frequently fast-paced environment.
5. Team player who builds trust by being solutions-focused and accountable for their work.
6. Works to deadlines with an excellent eye for detail.
7. Proactive and able to demonstrate a positive and flexible approach in demanding situations with high stakes.
8. Reliable, conscientious, and highly organised.
9. Good IT skills, particularly in Microsoft Office.
10. Interest in and knowledge of classical music.
Desirable:
1. The role would suit someone seeking their second job in the arts.
2. Previous experience organising international travel and diary management.
