We are happy to be recruiting for one of our high-profile utilities clients. They are currently looking for a Document Controller to join them for an initial 6-month contract. However, there may be scope for extension.
Job Purpose:
To provide document control for complex multi-site projects to ensure the delivery of compliant and traceable project documentation.
Key Accountabilities:
1. Be the interface with the Main Works Contractor's document controller(s) and systems to ensure that all contractual documents are correctly administered in compliance with National Grid's policies and procedures.
2. Prepare document transmittal notes and maintain all documents received and issued by the Project Team(s).
3. Ensure that all documents are reviewed and approved by relevant individuals/functions prior to issue.
4. Ensure that changes and the current revision status of documents are identified and remain legible and readily identifiable.
5. Distribute documents of external origin to correct individuals and/or departments in correct time scales in line with contractual obligations.
6. Control, trace, and record the issue status of all documentation generated during the full project life cycle to provide an adequate audit trail.
7. Ensure no unintended use of obsolete documents, applying suitable identification to them if retained for any purpose.
8. Log, distribute promptly, and keep updated various instructions from consultants, clients, project managers, etc.
9. Establish and maintain a Request for Information system, providing reports to the Project Team.
10. Communicate to the Project Team the abilities of the document control system and source training, technical, and procedural support for all users.
11. Thoroughly police the procedures and standards defined in the project's protocols and procedures.
12. Review all comments made on documents to ensure they have been added electronically to form part of the audit history.
Knowledge, Experience and Technical Know How:
1. Experience of computer literacy in the use and application of standard MS applications, in particular Excel, PowerPoint, Word, and SharePoint.
2. Extensive experience in the use of Common Data Environments (CDE) and/or collaboration software.
3. Experience of project delivery and using naming conventions and metadata in document control.
4. Awareness of the construction contract environment, including contractual terms and conditions and processes.
5. Demonstrable experience of functioning as a member of an integrated team.
6. Experience and knowledge of project handover records and CDM Health & Safety file requirements.
7. Experience in creating a culture of continuous improvement through the use of systems and procedures.
8. Experience of managing formal documentation control, including process flow.
9. Experience of continuous improvement including basic tools & techniques used.
10. Experience of working across teams and building relationships.
11. Experience of problem solving.
Location:
This is a hybrid working role, with a requirement to work from the client's Warwick office as and when required.
Working hours:
Standard working hours with some flexibility where required.
