Assistant Ophthalmology Clinic Coordinator

The ophthalmology department has an exciting opportunity for a full-time assistant clinic coordinator. This is an ideal post for a candidate who is hard-working, self-motivated, and enthusiastic to help ensure the smooth running of the service.
The role of the assistant clinic coordinator is to provide comprehensive administrative support to the clinic coordinator. The post holder will be skilled in office administration and the use of Microsoft Office.
The applicant should have excellent communication skills. The post holder will be professional and able to interact appropriately and effectively with all levels of staff, ensuring a high level of confidentiality is maintained at all times.
Main duties of the job
To support the clinic coordinator in the day-to-day duties of the department. The post holder will provide support with validating patients on the outpatients waiting list, filling last minute slots, cancelling patients and clinics, and monitoring the Follow-up email account. The post will also include clinic management, managing the weekly activity diary, and covering for the clinic coordinator when on leave or away from the Trust. The post holder will be required to work independently using their own initiative and must apply a high degree of confidentiality to their work.
To be responsible for monitoring clinics, doing a weekly check to ensure clinics are fully utilized.
1. Clinic prepping for last minute bookings.
2. Cancelling patients on the day due to staff sickness.
3. To be responsible for booking ROP (retinopathy of prematurity) patients.
4. To monitor and action emails.
5. Validating patients by running reports.
6. To receive and action follow-up requests via post or email.
7. Requesting ad-hoc clinics via Trust process.
8. Supporting eye casualty.
9. Supporting the clinic coordinator.

Person Specification
Qualifications
* Educated to GCSE level or equivalent level of education including Literacy and Numeracy.
* IT Skills - Microsoft Excel/Office.
Knowledge
* Experience of team working.
* Experience of office/admin systems.
* Experience in the use of computerised patient administration systems.
* Previous experience working in a hospital environment.
* Diary Management.
* Clinic Template Management.
Skills
* Demonstrate ability to use own initiative.
* Ability to multi-task and switch between tasks/jobs with frequent interruptions without losing focus and attention to detail.
* Able to reassure patients/relatives.
* Ability to make contacts and build good working relationships with clinical and non-clinical staff in own and other departments and hospitals.
* Able to escalate issues of concern to senior members of staff as necessary.
