What’s the role all about?
This is an exciting opportunity for an Occupational Health Coordinator to support the HR team in delivering exceptional service with the delivery of our Occupational Health Programme. Your attention to detail and excellent customer service skills will be essential in maintaining a highly confidential environment. With an ambitious order book ahead of us we are looking for individuals who can hit the ground running and support the team to ensure all our businesses remain fully operational across the William Hare Group.
Working 36 hours a week / Monday to Friday / Early afternoon finish on a Friday
The Occupational Health Coordinator will be required to:
* Provide administrative support to the business in respect of the scheduling and coordination of the annual health surveillance programme.
* Provide confidential support to the Head of HR & Training and HR Advisors to submit timely and detailed Occupational Health Management Referrals and report follow up.
* Issue all new employees in safety critical roles with an OH new starter form and arrange any follow up appointments for employees where health concerns need further attention.
* Coordinate all health-related risk assessments and wellness plans with HR Advisors and Line Managers to support the safe return to work of those employees absent from work.
* Respond in a timely manner to the referring managers and employees to ensure appropriate appointments are made and any waiting times are empathetically explained.
* Liaise with site and production administrators to schedule Technician Visits and employee recalls. At month end check off the Fusion invoice with all administrators ensure that charges are correct and the invoice is ready for payment.
* Follow up on all site summary reports, maintaining and developing structured filing and other reference systems for fit slips and Occ Health correspondence ensuring confidentiality is always maintained.
* Liaise with Site and Production Admins to ensure that individual employees receive relevant copies of their fit slips, HAVS and NIHL reports and that they fully understand their responsibilities in relation to follow up actions with GPs etc.
* Support the HR Advisors to prepare monthly Bradford Factor Absence reports for production and construction management teams, provide cover for any periods of absence.
* Work with Line Managers and HR Advisors to schedule Welfare Meetings for employees who are long term sick to assist and support their safe return to work.
* Act as the WHL super user and internal trainer for the Fusion OHIS.
* Lead on the delivery of our annual flu vaccination voucher programme.
* In conjunction with our Occupational Health Provider, lead and coordinate wellbeing and health promotions events, working with the marketing team to create content for internal communications.
* Build engagement with our employees by actively promoting the FUSE App, EAP and Medicash Schemes.
What are we looking for:
* General level of education and a keen graduate who has completed a business management degree, specialising in HR or Occupational Health.
* Level 3 CIPD qualification preferred with IOSH Managing Safely as a minimum.
* Proficient in the use of Microsoft Office package, particularly Word, Excel and specific OH Information systems.
* Can demonstrate a reliable level of understanding and practical application of HR policies and procedures.
* Previous experience of working in a HR, OH or medical admin environment essential.
* Knowledgeable about H&S especially the management of Occupational Health, health risk assessments and wellbeing plans are preferred.
* Ability to take an organised and efficient approach to work.
* High attention to detail in a fast-paced environment.
* Knowledge of data protection laws and the importance of confidentiality.
* Ability to deal with sensitive and confidential information.
* Tactful, diplomatic, and approachable.
* Adaptable to prioritise, work to deadlines and meet the changing demands of the role.
* Discretion is essential due to the confidential nature of information being handled.
* Enthusiastic, proactive and self-reliant – ‘can do’ attitude.
* Strong customer focus and ability to build and maintain relationships.
* Ability to work as part of a team.
