Starting pay rate £11.44 per hour
Monday Friday / 9am5pm (35 hours per week)
We are recruiting for a Legal Secretary for a Telford based Legal Practice on a temp-to-perm basis. This position will be directly responsible to the Director, and perform the role of Secretary to the Director and the Private Client department and support the Notary department in the absence of the Notary Secretary.
Responsibilities and duties will include, but not limited to:
Arranging appointments, maintaining and reviewing the diary on a daily basis.
Responsibility for day-to-day management and general running of Directors files from opening to closing and archiving.
Assisting in case management of Litigation files and Civil matters.
Liaising with the Director and referral to the Director on any aspects of file management.
Maintenance and development of systems for Litigation and Civil files, all steps from commencement of instructions and opening of files to closure and archiving files and ensuring compliance with written procedure for file management.
Handling telephone and other queries from clients and others.
Receiving telephone messages, facsimile messages and emails ensuring they are dealt with promptly.
Dealing day to day with handling of client matters, enquiries and problems of clients and obtaining instructions from clients.
Communicating with clients in their personal calls to the office and ensuring that they are given a prompt, efficient and friendly service.
Preparing documents and correspondence, including preparing mail and enclosures.
Responsibility for drafting legal documents, correspondence and pleadings where appropriate.
Research of relevant legal issues on case files.
Attendance at client meetings on behalf of the Firm.
Regular reviews of files to include appropriate diarised reviews of all files, thorough review and identification of steps to progress client files.
Ensuring all matters are dealt with smoothly and sound advice provided to clients.
Management of financial aspects of client files including securing monies on account, advising clients of costs, entering financial information on case file and liaising with Accounts Manager.
Covering for others when they are unavailable.
Providing guidance to new, inexperienced or temporary members of staff as necessary.
In the absence of the Notary Secretary - to cover aspects of the role in the Notary department
Skills and Experience
Previous experience working as an administrator / secretary or similar
Able to working accurately and at a fast pace
Ability to learn quickly.
An ability to work under pressure
Able to use your own initiative and be pro-active
Great communication skills including a polite telephone manner
Strong organisational skills
IT literate including good typing speed and accuracy
Good typing skills and can work at speed
