The role:
Responsible For: Supporting the hotel, Sales & Events Manager and Sales & Events Coordinators in achieving business objectives to provide full administrative support to the department.
MAIN PURPOSE AND SCOPE OF THE JOB
This position is responsible for optimising revenue from corporate events, weddings and private events as well as ensuring they meet and exceed guest expectations and contribute to the achievement of the Hotel’s Meetings & Events revenue budget.
DUTIES AND KEY RESPONSIBILITIES
1. To optimise sales of the Hotel’s facilities and services to prospective wedding, private events and corporate clients.
2. To have a full understanding of the Hotel as a product in terms of sales & marketing and promote this to its utmost potential at any given opportunity including promotions, exhibitions and special events.
3. Manage enquiries by phone and email and respond to them individually in a timely and personalised manner.
4. Execute show rounds and client appointments.
5. Record and report all enquiries, viewings, appointments, and follow-up from client meetings.
6. Set-up new client records on file and update as appropriate.
7. Receive and record all payments made and liaise with the finance team as necessary.
8. Ensure cancelled bookings are cleared from our diary and system promptly to ensure that accurate availability is shown at all times. Retain any monies required in line with contractual agreement.
9. Ensure that all standard procedures are carried out within the booking process and that the process runs in a smooth and efficient manner to ensure accurate information and guest satisfaction.
10. Work with the Sales & Events manager to oversee the Sales & Events coordinators and provide training and guidance when needed.
11. Work with the Sales & Events Manager to help drive booking conversions.
12. Effectively contribute to the efficient planning and implementation of the hotel’s Sales & Marketing activities such as, but not limited to, open days, supplier fairs, attendance at wedding shows, and PR activities.
13. Work with the central Sales & Marketing team to create and maintain sales & events collateral.
14. To provide account management to existing clients to help drive an increase in event bookings.
15. Work with the DOS to plan hotel FAM trips.
16. Contribute to the sales office administrative processes to ensure a smooth running department.
17. Attend internal hotel meetings on behalf of the Sales & Events manager when required.
18. Oversee Sales & Events coordinators when the Sales & Events manager is away and report to the DOS.
ADDITIONAL RESPONSIBILITIES
1. Exceed the customer’s expectations on every occasion ensuring that Harbour Hotels become the preferred venues for our new, existing and past wedding customers and agents.
2. Work within budgets to achieve targets /ask to review if necessary.
3. Balance and prioritise multiple activities with demanding timescales.
4. You will be required to work Monday to Friday office hours but flexibility to work outside of these hours in line with the business demands.
