Job Overview
How Aneurin Bevan University Health Board communicates with and responds to its key stakeholders and manages its corporate business is critical to the organisation in setting the tone at the top, and this postholder will play a fundamental role in supporting the Chief Business Officer and Executive Business Manager to achieve that.
The postholder will provide comprehensive administrative support to the Corporate Business Team while also providing an efficient and effective reception service at the Health Board’s Headquarters.
Main Duties of the Job
The Postholder Will:
1. Provide an efficient and professional reception service at the Health Board’s Headquarters.
2. Undertake general secretarial and administrative duties to support the Corporate Business Team, including photocopying, sending emails, scanning documents, arranging meetings, and maintaining diaries.
3. Order and monitor stationery to maintain supplies in accordance with the Health Board’s procurement procedures and Standing Financial Instructions.
4. Receive, sort, and record incoming mail onto a database, and assist in sending outgoing mail.
5. Receive and redirect telephone calls promptly, accurately, and confidentially.
6. Copy and circulate documents as required, including paperwork for Board, Executive Team, and Committee meetings, ensuring timely distribution.
7. Develop, maintain, and retrieve information from filing systems.
8. Prepare, draft, and produce letters and reports from written and audio material.
9. Oversee all Headquarters meeting room bookings, checking room availability, accepting booking requests, and ensuring room etiquette.
The postholder will be required, at times, to provide administrative support and cover across the wider Corporate Business and Corporate Governance Teams to ensure corporate requirements are always maintained.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Experience
Essential Criteria
* Knowledge of secretarial or administrative procedures and systems, such as answering queries, progress chasing, and task-related problem solving, acquired through experience and training to Vocational/NVQ Level 3 or equivalent.
Desirable Criteria
* Working within an NHS environment.
Knowledge

* Working knowledge of PC package Microsoft Office.
Desirable Criteria
* CWS and Datix.
Qualifications

* OCR level II or equivalent in typing/word processing.
