Job overview
The business coordinator will be instrumental in providing professional, proactive and flexible support to the Chief Nurse and Executive Director of Midwifery and the Nursing Directorate as well as the Chief Medical Officer and CMO Office, offering a range of effective administrative, budgetary and business support services. They will work with minimal supervision on specific projects and work streams to contribute to the delivery of the Trust’s objectives.
The business coordinator will be a key member of the Corporate Team, with considerable freedom to act autonomously to ultimately free the director to focus on their own roles. To achieve this, the post holder will apply excellent judgement, discretion and initiative, combined with excellent organisational, prioritisation and analytical skills.
The business coordinator will also offer effective day-to-day management of the CN office and CMO office, which will involve complex in-box and diary management, secretariat and other administration support as required.
Main duties of the job
1. Managing a diverse workload efficiently and effectively in order to ensure that the director keeps on track of all aspects of the current workload, as well as supporting future business planning processes.
2. Providing high quality support through the monitoring, implementing and evaluating of tasks and projects, as agreed with the Executive Director. This will involve complex information and analysis, communications and stakeholder management.
3. Handing and delivering decisions and actions without constant reference to the Executive Director; balancing when an issue needs to be escalated.
4. Drafting initial reports, presentations, letters and other correspondence on behalf of the directorate, using MS Word, Excel, PowerPoint, Outlook and the internet to the highest standard and within agreed deadlines.
5. Horizon scanning and flagging key pieces of work or potential issues that the Executive Director would need to be aware of.
6. Establishing a proactive and detailed in-box management system to provide assurance to the directorate that messages are being monitored and actioned at all times.
7. Supporting and undertaking the implementation of projects, service improvements and initiatives through timely and relevant information analysis and administrative support, in accordance with the agreed priorities of the director and team.
