Co-ordinate all office services & supplies to include office stationery, weekly fruit deliveries, refreshments, equipment such as printers, photocopiers and franking machine. Ordering of IFCO branded printing consumables for RCI as and when requested. Co-ordinate all H & S requirements at the UK Head office to include ensuring adequate stocks of first aid kits, first aid trained personnel and fire wardens. Carry out annual workstation assessments and risk assessments. Co-ordinate the annual PAT testing and fire extinguisher servicing. Administer & co-ordinate the company car fleet both short-term & long-term lease/hire as directed by the HR Manager. Administration of The Mileage Consultancy dashboard to include adding new joiners and removing leavers as well as providing ad hoc reports as requested. Issuing of company fuel cards and co-ordinating the return of the cards from leavers to include advising Barclaycard to stop the card from being used past termination date. Co-ordinate the company mobile phone contracts ensuring contracts are renewed and phones issued to new joiners and returned by leavers under the direction of the HR Manager. Purchase and co-ordination of car park permits for Council run car parks as well as manage the allocation of car parking spaces at Head Office. Co-ordinate all access cards to the premises ensuring that all temporary passes are returned each day, that new joiners receive a pass and leavers passes are returned and destroyed. Responsible for administration and annual renewal of company insurance policies. Co-ordinate and administer the Sedex & Grocery Aid memberships. Ensuring telephone hunt groups on Teams remain up-to-date with new joiners, leavers and transfers within the company. Responsible for organising IT equipment such as laptops, screens, computer peripherals, keeping an inventory of company equipment and provide support as required. Co-ordinate staff socials such as the Christmas party. Oversee the server room and storage cupboard ensuring both are kept clean and tidy. Administration of retailer contracts and lease agreements as directed by the Managing Director along with any additional support they require. Arrange couriers as and when required. Any other reasonable request made by Management. Skills/knowledge: The ability to take instruction from senior management. Good time management and excellent organisational skills. Flexibility and the ability to use own initiative. Good administration skills. Excellent organisational skills. Experience: Experience of office admin and basic health & safety requirements. Work experience within Facilities or a similar role. Familiarity with office equipment.
