The Facilities Coordinator (FC) will assist the Lead Facilities Manager in delivering facilities services to occupiers in one or more managed properties, adhering to best practice standards defined by JLL, and understanding the business objectives of the investment.
Customer Service
* Deliver excellent customer service to meet client expectations.
* Build and develop effective relationships with customers at all levels.
* Support reception by covering breaks and absences as required by the LFM/Client.
Site Operations
* Ensure issues highlighted through site inspections or customer complaints are resolved promptly.
* Manage all requests on the Facilities helpdesk and liaise with JLL M&E team & service providers.
* Ensure delivery of client KPIs as per the agreed LCA (Local Country Agreement).
* Maintain accurate records of health & safety files and plans.
* Process and control purchase orders, invoices, and work orders.
* Provide cover for the Lead FM during periods of absence.
* Support the completion of reports and documentation within deadlines.
* Conduct regular site inspections and log issues via the helpdesk system.
* Visit sites and properties according to the site visit program issued by the Lead FM.
Facilities (property/portfolio) Management - Supporting the RFM
* Ensure delivery of client KPIs as per the PMA (Property Management Agreement).
* Assist in delivering “Instinct” (customer experience) initiatives across your portfolio in close liaison with service partners.
* Ensure on-site management complies with JLL policies, processes, and procedures.
* Liaise with occupier representatives, referring issues upwards only if unresolved locally.
* Maintain regular communication with occupiers, acting as the principal contact for operational guidance.
* Assist in setting and controlling service charge budgets, quarterly variance reporting, and reconciliation.
* Support the building’s social responsibility activities (H&S, environmental, sustainability).
* Assist in managing building plant and equipment, including building management systems where applicable.
* Help implement minor housekeeping and maintenance tasks.
* Prepare site regulations and issue permits for contractor activities.
* Maintain proper site records following best practices.
* Visit sites and properties as per the schedule from the Lead FM.
Required Qualifications, Skills, and Experience
* Strong stakeholder management skills with the ability to understand business ideas.
* Experience in property industry, client-facing roles, or corporate FM background.
* Supportive of operational business change initiatives.
* Excellent organizational and communication skills, both verbal and written.
* Results-driven attitude.
