To assist the Residences Management team in the smooth running of accommodation, through undertaking reception duties and carrying out administrative tasks as required. You are expected to carry out all activities in a positive manner and demonstrate consistent levels of enthusiasm and interest in your role.
MAIN DUTIES
1. To provide an excellent customer experience to reception users, meeting, greeting, and receiving customers, whilst dealing with queries, in accordance with procedures and training.
2. To deal with routine enquiries, including face to face, telephone, and email.
3. To deal with enquiries from internal and external customers in a professional manner, following established procedures, referring complex enquiries to relevant staff members, ensuring all relevant facts and information needed is recorded and passed on.
4. To undertake a variety of routine administrative duties to support the team and department, including mail and parcel processing.
5. To refer customers and visitors to other members of staff as applicable.
6. To issue keys / key cards in line with procedures.
7. To use master keys / key cards in accordance with the procedures detailed by the Residences Management team. Under no circumstances should master keys / key cards be used outside hours of duty.
8. Act as a point of contact receiving / issuing information and signposting accordingly.
9. Ensure procedures are followed when taking card payments, maintaining financial records in accordance with financial regulations.
10. Record maintenance faults and ensure timely action in line with procedures.
11. You are required to monitor and flag as directed the generic email accounts throughout your shift ensuring you respond in a timely manner (as per your training) and, as necessary, escalate complaints to the appropriate team member as required.
12. You are expected to comply with data protection and information security policies, ensuring you do not disclose any information to a third party which may confirm / deny a particular person lives in accommodation.
13. Ensure ‘Out of Hours’ procedures are followed.
14. To assist in preparing and clearing rooms for meetings/events which will involve the movement of equipment and furniture as required.
15. To establish and maintain positive working relationships with key contacts to help improve service levels.
16. To work in different accommodation areas as required.
17. You are expected to comply with all health, safety and environmental instructions, guidelines, and procedures, being aware of and controlling hazards as appropriate and to raise any health and safety concerns with the Residences team.
18. You are expected to attend work during the days and hours stated in your work schedule. You are expected to be punctual at all times and should a situation arise where you anticipate being late, you must advise the Residences Management team.
19. You may be asked to perform other duties occasionally which are not included above, but which will be consistent with the role.

DESIRABLE
1. Experience of working in an accommodation setting / or hospitality / corporate / customer service / reception environment.
