Job Description
This position involves providing comprehensive administrative support to executives, including managing schedules, handling communications, preparing documents, and assisting with meeting preparations.
Responsibilities
* Acting as a first point of contact: dealing with correspondence and phone calls;
* Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive;
* Ensuring the relationship with the Board of Directors; communicate with Board Members, schedule Board Meetings and arrange meeting agendas;
* Schedule and coordinate meetings, appointments and travel arrangements for top management team;
* Prepare meeting agendas, perform research for meetings, and take minutes during meetings of top management team;
* Preparing the applications for different events and fairs; organizing conferences;
* Reminding the manager/executive of important tasks and deadlines;
* Typing, compiling and preparing reports, presentations and correspondence;
* Collating and filing expenses;
* Coordinating the correspondence distribution and storage (e.g. letters, packages / parcels);
* Responding to questions and requests for information;
* Maintaining strict confidentiality and strong working relationship with other relevant departments;
* Respect the Collective Working Agreement, Internal Regulations, Work schedule and any other regulations implemented by the Company.
* Respect the Individual Labor Agreement requirements and to refrain from disturbing the appropriate progress of company’s activity, showing a suitable behavior as per the Company’s requirements.
* Make business travels as per job requirements.
* Strictly following and complying with company ‘’Health, Safety and Environmental’’ rules and regulations.
* Tasks are not limited. They may be complemented by other tasks necessary for the good performance of the activity by its superior or the Management of the company.
Qualifications
* Bachelor's degree or equivalent experience
* Proficient in Microsoft Office suite
* Experience in managing multiple priorities, administrative coordination, and logistics
* Well-organized, detail-oriented, ability to multi-task with great follow-up skills
* Strong written and verbal English communication skills
* Preferably with knowledge of Turkish
