We are one of the largest branded clothing and merchandise companies within our industry, shipping for high profile organisations globally. Our main HQ office is based in Liverpool, Bootle, L20 8LQ and we have offices & warehousing in Ireland and New Jersey too. Our building has recently undergone a redevelopment within the last few years, so our working environment is state of the art to inspire the creation and delivery of World Class Merchandise.
JOB SUMMARY
We are recruiting for a new purchasing administrator, who will join our Purchasing Department which consists of 3 team members. The individual we are recruiting must be able to work independently and collaboratively, self-motivated, able to multitask, and be an organised, reliable and approachable person with excellent attention to detail. You will work closely with Third Party Suppliers and Internal Wild Thang Teams building positive working relationships every step of the way. Our Sales team will rely on you to generate their approved customer orders with our internal and external suppliers and production team following a set process. You will be responsible for cross checking our purchase orders and artwork visuals, against supplier order and visuals and flagging any errors or concerns before approving. Your main goal is to ensure all orders and processed accurately and efficiently to ensure they are delivered as approved within the agreed timeline. We are a growing company, with currently 17 team members within our main Sales Office where you will be situated.
CORE RESPONSIBILITIES AND DUTIES
* Communicate with our third-party suppliers & internal production teams in a professional and courteous manner via telephone and email
* To build and demonstrate professional, positive, proactive and effective working relationships with all suppliers
* Understanding the business software action process from Sales through to production > delivery stage
* Understanding the best process steps for each individual supplier
* Processing orders via supplier website portals were applicable
* Following and completing daily actions set on internal system
* Scheduling orders onto production calendar
* Emailing and calling customers to let them know their order is ready for collection
* Chasing suppliers on urgent queries via email and telephone
* Managing the Purchasing & Invoicing mailbox
* Process purchase orders via our internal system & process
* Check data accuracy of invoices before sharing with customers
* Liaise with our third-party suppliers on urgent timescales to ensure deadlines can be met
* Maintain and update supplier records on core database
* Communicate important feedback from suppliers / production to job owner
* To advise Senior Purchasing Administrator when suppliers are under or over performing and seek advice on best course of action
* Ordering garment stock for daily orders from multiple supplier web platforms
* To continually look for process improvements

TRAINING
The successful candidate will undergo a 3-month tailored training plan being coached daily on internal systems, products, suppliers, ordering portals, branding and job variations and processes.
The daily coaching through the broad scenarios will be your main form of training, you will also take part in external industry specific training where applicable.
OVERVIEW AND COMPANY BENEFITS
* Full time permanent position that involves a 6-month probationary period
* Working hours are 41 hours per week; Monday to Thursday 8am to 5pm, Friday 8.30am to 4.00pm
