Purpose of the role:
Due to continued growth, Affinia is recruiting for a Part time, dual role to cover Reception duties with elements of Business Support administration. We are looking for the candidate to work Monday, Tuesday and Wednesday (22.5 hours per week). We cannot be flexible with the hours as the role is a job share.
You will be the welcoming face to our clients who regularly attend the Halstead office in person, you will provide support to our client facing teams and all colleagues. The role reports to the Business Support Team Lead where you will assist with the daily operations of the business to ensure high-quality administrative and office support.
Accountabilities:
The role demands excellent organisational skills and a strong understanding of service delivery in a financial services organisation to drive efficiency and enhance client service delivery.
* Front of House duties to include greeting clients and visitors, offering a first-class client experience in person as well as answering external calls in a professional manner.
* General office presentation, including meeting rooms.
* Maintaining office supplies such as stationery, refreshments etc
* Ensure the office environment is well-maintained, including managing supplies, coordinating with maintenance services, and addressing any facility-related issues.
* Incoming and outgoing Post including scanning, distributing, redirecting and saving to our document management software.
* Keeping up to date all hard copy filing systems as well as electronic records.
* Monthly client requests and reminders.
* Sending out documents for electronic signature.
* Assisting with CS01 preparation and submissions.
* Assisting with Accounts & Tax Return submission.
* Organising files and documents using our naming convention system
* Updating database.
* Archiving electronic and physical documents.
* Ad hoc administration duties.
* Assisting with the client onboarding process of new clients.
Skills/Qualifications:
You will have the skills and ability to prioritise your own workload whilst maintaining high attention to detail. You will be a natural relationship builder with exceptional communication skills. Flexibility and ambiguity as well as possessing the ability to take own initiative and demonstrate good judgement are key skills required within this position.
